Job Description
Responsibilities:
- Manage and coordinate corporate travel arrangements, including booking flights, hotels, and ground transportation for employees.
- Track and document all travel expenses, ensuring compliance with company policies and budget constraints.
- Reconcile receipts and invoices with accounting, update QuickBooks, and maintain accurate budget records.
- Produce weekly travel updates for key managers and resolve scheduling conflicts or travel issues proactively.
- Analyze travel expenditures and create reports to aid in decision-making and optimize travel costs.
- Review expense reports in Concur to ensure employee compliance with policies and obtain necessary approvals.
- Manage contracts with travel service providers and coordinate the use of bonus miles and other rewards.
- Suggest improvements and innovations for travel programs to enhance efficiency and cost-effectiveness.
- Maintain accurate records for analysis and accounting purposes, ensuring all documentation is complete and up-to-date.
- Develop and implement travel policies and procedures to ensure consistency and compliance across the organization.
- Serve as the primary point of contact for all travel-related inquiries and provide exceptional customer service to employees.
- Coordinate with finance department to process travel-related payments and reimbursements in a timely manner.
- Stay informed about industry trends, travel regulations, and best practices to continuously improve the company's travel management processes.
- Conduct periodic audits of travel expenses and bookings to identify areas for cost savings and policy adherence.
- Assist in preparing annual travel budgets and forecasts based on historical data and projected business needs.
Qualifications
Qualifications:
- Bachelor's degree required; professional accounting or travel management certification preferred
- 2+ years' experience in corporate travel management
- Proficiency in Microsoft Office suite, especially Outlook for cross-time zone scheduling
- Experience with Concur Expense and Travel strongly preferred
- Strong knowledge of US geography, airports, and transportation systems
- Excellent communication, negotiation, and problem-solving skills
- Attention to detail and ability to maintain confidentiality
- Data entry skills and ability to produce accurate financial records
- Fluency in written and spoken English
