Job Description

  • Assist the Reservations Manager in managing the daily operations of the Reservations Department.
  • Supervise and support Reservations Agents in handling individual, group, corporate, and travel-agent reservations.
  • Ensure all reservations are accurately entered, updated, confirmed, modified, and cancelled in the hotel system.
  • Monitor room availability, rates, restrictions, and inventory to maximize occupancy and revenue.
  • Coordinate with Front Office, Sales, Revenue Management, Housekeeping, and other departments regarding room availability and guest requirements.
  • Review daily reservation reports, arrivals, cancellations, no-shows, and amendments.
  • Monitor overbooking levels and coordinate appropriate actions with the Reservations Manager and Front Office.
  • Ensure reservations are processed according to hotel policies, standards, and procedures.
  • Assist in managing VIP, repeat, group, and special-request reservations.
  • Ensure accurate billing instructions, payment guarantees, room types, packages, and special requests are recorded.
  • Handle guest and travel-agent inquiries professionally and resolve reservation-related issues promptly.
  • Support the training, coaching, and development of Reservations Agents.
  • Monitor team performance and ensure departmental standards are consistently maintained.
  • Assist with forecasting occupancy and identifying opportunities to increase room revenue.
  • Maintain effective communication with Sales and Revenue Management regarding rates, promotions, groups, and business opportunities.
  • Ensure all reservation records and guest information are handled accurately and confidentially.
  • Prepare and review departmental reports and provide relevant information to management.
  • Ensure compliance with hotel standards, brand standards, and applicable policies and procedures.
  • Perform other duties and responsibilities as assigned by the Reservations Manager or management.

Qualifications

  • Diploma or Bachelor’s degree in Hospitality Management, Tourism, Business Administration, or a related field.
  • Minimum 2–3 years of experience in hotel reservations or front office operations, preferably with supervisory experience.
  • Previous experience in a 4- or 5-star hotel is preferred.
  • Good knowledge of hotel reservation systems and PMS.
  • Knowledge of Opera PMS or similar hotel systems is an advantage.
  • Good understanding of room types, rates, availability, packages, and reservation procedures.
  • Strong English communication skills; additional languages are an advantage.
