Job Description
The Role
To supervise and coordinate the day-to-day mechanical engineering operations of the Hotel.
To ensure the efficient operation, maintenance, repair and upkeep of all mechanical equipment, systems and installations throughout the Hotel.
To lead and supervise the Mechanical Engineering team, ensuring all assigned duties are completed safely, efficiently and to the required quality standards.
To work closely with Housekeeping, Front Office, Kitchen, Laundry and other departments to ensure prompt resolution of maintenance requirements and a high level of guest service.
To demonstrate a proactive, solution-oriented and hands-on approach to mechanical maintenance and engineering operations.
To provide service that is sincere, warm and enthusiastic, ensuring guest satisfaction while maintaining the operational standards of the property.
Key Deliverables and Responsibilities
Planning & Organizing:
- Assist the Director of Engineering / Assistant Chief Engineer in planning the annual mechanical maintenance, project and replacement budgets.
- Check log books, daily sheets and maintenance reports on a shift basis.
- Plan and coordinate preventive maintenance schedules for all mechanical equipment and systems.
- Allocate daily duties, maintenance work orders and checklists to the Mechanical Engineering team according to operational requirements.
- Strictly follow up on all assigned maintenance jobs until completion.
- Identify recurring mechanical problems and recommend appropriate corrective and preventive actions.
- Coordinate with other Engineering sections and operational departments to ensure smooth and efficient maintenance activities.
- Prioritize mechanical maintenance requirements according to operational urgency and guest impact.
Operations:
- Supervise the operation, maintenance and repair of all mechanical equipment and systems throughout the Hotel, including HVAC and air-conditioning systems, chillers, pumps, cooling systems, boilers, hot water systems, sewage systems, water systems, irrigation systems, swimming pool equipment, laundry and kitchen equipment, emergency generators and other mechanical installations.
- Ensure the proper operation and upkeep of all mechanical machinery, plant rooms, equipment rooms and technical areas.
- Handle and manage sufficient and appropriate storage of mechanical spare parts, tools and consumable materials.
- Train and develop the Mechanical Engineering team in departmental operating standards, equipment operation, preventive maintenance and safe working practices.
- Maintain a consistent focus on improving the overall flow of mechanical engineering operations, seeking ways to maximize productivity, equipment efficiency and energy savings.
- Lead and support employees in the achievement of operational and service delivery targets through effective work allocation, supervision and appropriate employee training activities.
- Foster a winning, solution-oriented work environment, motivating and engaging employees to continuously deliver the best possible service and to provide feedback and suggestions.
- To have a complete understanding of and to adhere to Swissôtel Al Murooj Dubai policies relating to Fire, Hygiene, Health and Safety.
- To ensure a consistent high standard of grooming is followed by self and team.
- Have full knowledge of all products, services and facilities provided by the property and the technical systems supporting them.
- Ensure daily shift handovers are conducted in a professional and constructive manner, ensuring all pending mechanical issues are properly communicated.
- Regularly spot check duty shift checklists to ensure tasks are completed.
- Attend training classes as scheduled to enhance work skills, technical knowledge and professional development.
- Show full cooperation and respect within the team and with other departments.
- Be aware of the daily activities and operational requirements of the Hotel and ensure mechanical maintenance requirements are addressed accordingly.
- Coordinate preventive maintenance and repair schedules and allocate duties and checklists to the team.
- Ensure the DynaWin system is used to its full capacity to capture maintenance data, work orders, timings, costs and completion details.
- Be responsible for the upkeep and proper functioning of all mechanical machinery, technical systems, plants and related equipment throughout the Hotel.
- Provide maintenance support and lead by example by getting involved in mechanical maintenance issues and assisting with projects from a hands-on perspective.
- Ensure all tasks are completed with a focus on quality by auditing allocated mechanical jobs on a daily basis.
- Must be thoroughly familiar with all Swissôtel Al Murooj Dubai corporate and local Operational Standards and ensure they are followed.
- Be responsible for auditing all mechanical work carried out by the Engineering team or external craftsmen on the building, plants, machinery or technical installations.
- For emerging mechanical problems of a bigger issue, consult a specialist and discuss the problem with the Director of Engineering / Assistant Chief Engineer, recording decisions and procedures taken.
- Implement all necessary work procedures for preventive mechanical maintenance, initiate respective scheduled procedures and monitor the carrying out of work as well as recording the results within the appropriate filing system.
- Ensure sufficient and reasonable supply of mechanical spare parts and materials is available on time.
- Determine priorities for mechanical repair work and ensure the quick removal of all breakdowns. Do not accept work which is not executed in a competent manner. Pass invoices for payment only when the execution of the work is completed as preliminarily agreed and to full satisfaction.
- In case of disputes, involve the Director of Engineering / Assistant Chief Engineer for a decision.
- Store mechanical spare parts and register all incoming and outgoing items in an organized and accurate fashion.
- Receive daily maintenance orders, record all work completed including timing, materials and costs, and report back on DynaWin on the same day.
- Any urgent mechanical material and spare parts requested should be followed up until the material is received and the job is completed.
- Follow up on any outside repair of mechanical equipment or machinery until receiving the equipment back after repair, ensuring it is tested and returned to service.
- Follow up preventive maintenance work orders and daily work orders to ensure timely completion.
- Regularly inspect mechanical equipment and identify potential defects or failures before they affect Hotel operations.
- Ensure all mechanical plant rooms, workshops and technical areas are maintained in a clean, safe and organized condition.
- Ensure all Mechanical Engineering team members follow appropriate PPE requirements and safe working procedures.
- Coordinate and supervise external contractors carrying out mechanical maintenance, servicing, repair or installation works.
- Ensure all external mechanical work is inspected and completed according to agreed specifications, quality and safety standards.
- Monitor mechanical equipment performance and support energy and water conservation initiatives throughout the Hotel.
- Ensure mechanical equipment is maintained in accordance with manufacturer recommendations, approved maintenance procedures and applicable Hotel standards.
- Support the implementation of the Legionella prevention programme, particularly in relation to relevant mechanical and water systems, and ensure required maintenance activities and records are maintained.
- To carry out any other reasonable duties and responsibilities as assigned.
Administration:
- Establish a monthly report of mechanical works carried out, machines maintained, breakdowns, preventive maintenance, special events, DynaWin reports, consumption of energy and water, etc. to the Director of Engineering & Assistant Chief Engineer.
- Control and endorse all invoices for mechanical installations, repairs, tools, spare parts and consumption of materials and forward them for payment to Accounting.
- Be aware of and inform about all agreements with local authorities, insurance companies, external firms, contractors and suppliers relating to mechanical systems and equipment, and control their work and invoices.
- Review the employee schedule and annual leave plan to ensure the correct allocation of Mechanical Engineering resources in order to improve owner/resident/guest satisfaction levels as well as employee productivity and satisfaction.
- Oversee the implementation of a training plan for all Mechanical Engineering team members.
- Maintain accurate records of preventive maintenance, breakdowns, repairs, servicing and equipment maintenance history.
- Ensure all DynaWin records and maintenance documentation are updated accurately and on time.
- Assist in monitoring mechanical maintenance costs, spare parts consumption, energy usage and other relevant operational expenses.
- Ensure required statutory inspections, testing and certifications related to mechanical equipment are followed up and records are maintained.
- Provide regular updates to the Director of Engineering / Assistant Chief Engineer regarding major mechanical breakdowns, pending repairs, equipment condition, projects and other operational concerns.
- Maintain records and follow up on all mechanical equipment and machinery sent outside the Hotel for repair.
- Assist in preparing mechanical equipment replacement plans and recommendations based on equipment condition, age, performance and maintenance history.
- Ensure all maintenance reports, contractor reports, service reports, invoices and supporting documents are properly reviewed and filed.
Qualifications
**Required Qualifications:**
- Minimum 1 year of professional experience in a mechanical supervisor or equivalent supervisory role within a hospitality, commercial, or industrial facility
- High school diploma or equivalent; college degree in Mechanical Engineering, HVAC, or related technical field is strongly preferred
- Demonstrated expertise in the operation, maintenance, and repair of mechanical systems including HVAC, chillers, boilers, pumps, and water treatment systems
- Proven ability to supervise and manage technical teams effectively, with documented experience in staff training and performance management
- Proficiency in computerized maintenance management systems (CMMS) and work order management software
- Strong knowledge of preventive maintenance protocols, equipment lifecycle management, and energy conservation practices
- Comprehensive understanding of health, safety, and fire safety regulations applicable to mechanical systems and facilities management
- Ability to read and interpret technical drawings, equipment manuals, and maintenance specifications
- Excellent organizational and administrative skills with demonstrated capability in budget management and cost control
- Professional communication skills and ability to coordinate effectively across multiple departments
**Preferred Qualifications:**
- Certification in HVAC, mechanical systems, or facilities management from an accredited institution
- Experience in a luxury hospitality environment or high-end commercial property
- Knowledge of Legionella prevention and water system management protocols
- Familiarity with energy management and sustainability initiatives in facilities operations
- Experience with external contractor management and vendor coordination
