Job Description

 

  • Manage the procurement of food, beverages, supplies, and equipment required for all hotel departments, ensuring optimal quality and value for money
  • Develop and maintain strong relationships with approved vendors and suppliers, negotiating competitive pricing and favourable payment terms
  • Prepare and process purchase orders, ensuring accuracy and compliance with hotel procurement policies and procedures
  • Monitor inventory levels across departments and coordinate with stakeholders to forecast purchasing requirements
  • Conduct regular quality inspections of delivered goods and services, addressing any discrepancies or non-conformance issues promptly
  • Maintain comprehensive procurement documentation, including contracts, quotations, and supplier performance records
  • Analyse spending patterns and identify cost-saving opportunities whilst maintaining service standards and guest satisfaction
  • Liaise with department heads to understand their purchasing needs and provide timely support and guidance
  • Ensure compliance with all relevant regulations, health and safety standards, and hotel procurement guidelines
  • Prepare regular reports on procurement activities, expenditure, and supplier performance for management review
  • Participate in the evaluation and selection of new suppliers, conducting due diligence and background checks as required
  • Manage the supplier database and maintain up-to-date information on vendor credentials and certifications

Qualifications

 

  • Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or related field
  • Minimum 5-7 years of proven experience in procurement, purchasing, or supply chain management, preferably within the hospitality or hotel industry
  • Demonstrated expertise in vendor management and supplier relationship development
  • Strong proficiency in procurement software and enterprise resource planning (ERP) systems
  • Excellent negotiation skills with a proven track record of achieving cost savings whilst maintaining quality standards
  • Comprehensive knowledge of procurement policies, procedures, and compliance requirements
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and Word
