Job Description
Key Responsibilities
- Process purchase requisitions and purchase orders accurately and efficiently.
- Source and evaluate suppliers to obtain competitive pricing, quality products, and reliable services.
- Coordinate with departments to ensure procurement needs are fulfilled in a timely manner.
- Maintain good relationships with approved suppliers and vendors.
- Verify supplier quotations, product specifications, and delivery schedules.
- Assist in negotiating prices and terms with suppliers under the guidance of the Purchasing Manager.
- Ensure all purchases comply with hotel policies, approval procedures, and brand standards.
- Maintain proper documentation and filing of purchasing records, invoices, and related documents.
- Monitor delivery status and follow up with suppliers regarding pending orders.
- Assist in maintaining supplier databases and conducting vendor evaluations.
- Coordinate with Receiving, Cost Control, and Finance departments to ensure smooth procurement processes.
- Support inventory control activities and assist in monitoring stock availability.
- Prepare purchasing reports and provide administrative support to the Purchasing Department.
Qualifications
Qualifications
- Minimum 1–2 years of experience in purchasing, procurement, or a related role, preferably in a 4- or 5-star hotel.
- Knowledge of purchasing procedures, supplier management, and cost control principles.
- Good negotiation, communication, and organizational skills.
- Proficiency in Microsoft Office applications, especially Excel.
- Familiarity with procurement systems or hotel operating systems is an advantage.
- Good command of English (spoken and written).
- Strong attention to detail and ability to maintain accurate records.
- Ability to work under pressure and manage multiple priorities.
- High level of integrity, responsibility, and professionalism.
- Team player with a proactive and service-oriented attitude.
