Job Description
- Manage and coordinate the daily schedules, appointments, and travel arrangements of the executive team.
- Prepare and review correspondence, reports, presentations, and confidential documents.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as the primary point of contact for internal and external communications directed to the executive office.
- Maintain comprehensive and organized filing systems for confidential records and documents.
- Coordinate logistics for business travel, conferences, and hotel events.
- Assist in the preparation and monitoring of departmental budgets, expense reports, and procurement requests.
- Support the planning and execution of hotel events, executive meetings, and VIP guest arrangements.
- Uphold the highest standards of professionalism, integrity, and discretion in all interactions.
- Perform additional administrative duties and special projects as assigned.
Qualifications
- Proven experience as an executive secretary or similar role
- Excellent organizational, multitasking, and communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong sense of confidentiality, trustworthiness, and attention to detail
- Exceptional time management, prioritization, and problem-solving abilities
- Adaptability and proactive approach in a fast-paced environment
- Strong service orientation and interpersonal skills
