Job Description

Reporting to the Director of Human Resources, Responsibilities and essential job functions include but are not limited to the following:               

  • Consistently offer professional, friendly and engaging service  

  • Build and maintain positive and harmonious relationships with MoPIC, MoSD, MoL, MoMA, and any other relevant governmental body. 

  • Maintain a good working relationship with government and immigration representatives.  

  • Assist field programs in building and maintaining good relationships with local governmental bodies (Ministries Directorates, Municipalities, and Governorates) and other influential partners. 

  • Compile and synthesize relevant policy changes, circulars, by-laws, instructions, and governmental strategies and support programs in adapting programming, and align proposal development processes with emerging governmental priorities. 

  • Secure all visa permits and resident licenses; following government administration guidelines as stipulated by law  

  • Process all types of visas including employment visas, residence visas for employees as well as for entertainers 

  • Stay current on information relating to local law and changes in law regarding visas  

  • Ensure proper invoicing for all visas, filing and the cancellation of no show visas  

  • Process and renew of permits and licenses including hotel trade license, liquor trading license, chamber of commerce certificates of registration, civil defense certificate for the hotel, etc. 

  • Process and renew of entertainers permits/N.O.C through Department of Tourism 

  • Registration process and renew for all hotel vehicles 

  • Be up to date with regard to any changes or amendments to the prevailing laws / rules / regulations, changes in forms / formats and other procedures and keep the Human Resources Department advised of such changes 

  • Submit relevant documents periodically to the immigration / labor office with regard to cancelled / absconding employees and delete from the hotel’s sponsorship list 

  • Complete departure and exit formalities for employees after cancellation of visas 

  • Obtain quarterly sponsorship reports from the immigration / labor office and tally sponsorships and re-submit to immigration / labor office with relevant support documents 

  • Ensure the visas of terminated or resigned Colleagues are cancelled and ensure their exit or legal stay in the country  

  • Work closely with the Human Resources office and assist on assigned projects as required  

  • Follow departmental policies and procedures and all safety  

  • May perform non-human resources related administrative and operational duties, and other duties not assigned. 

  • Assists with other responsibilities and duties in the absence of a team members or other tasks assigned by the manager. 

  • Follows all policies and procedures ascertained by the hotel. 

Qualifications

  • Previous leadership experience in a similar role required  

  • Computer literate in Microsoft Window applications andor relevant computer applications required  

  • University/College degree in a related discipline preferred  

  • Excellent administrative, interpersonal, written and verbal skills  

  • Excellent communication and organizational skills  

  • Strong interpersonal and problem solving abilities  

  • Highly responsible & reliable with exceptional attention to detail  

  • Ability to work cohesively as part of a team  

  • Ability to focus attention on guest needs, remaining calm and courteous at all times
