About the Role
As our Therapy Coordinator, you will sit at the heart of our clinic, ensuring families receive a warm, seamless, and supportive experience from their very first contact with us.
Your work will be highly customer‑facing, involving regular communication with parents, caregivers, and external providers. You’ll coordinate schedules, manage therapy plans, support NDIS‑related administration, and oversee key operational processes in a dynamic, fast‑moving environment.
Success in this role comes from being organised, adaptable, and confident juggling competing priorities while maintaining a calm, friendly, and professional approach.
Your Key Responsibilities
- Coordinate and optimise therapist schedules and client appointments
- Respond quickly to changes in availability and update our practice management system
- Conduct onboarding calls with families and support risk assessment processes
- Manage the administration task queue and delegate tasks effectively
- Oversee invoicing and service delivery summaries across NDIS, Medicare, and private funding
- Generate and maintain Therapy Support Plans
- Prepare accurate reports on caseloads, productivity, and client data
What You’ll Bring
- Strong organisational skills and the ability to thrive in a fast‑paced, high‑volume environment
- Confident, empathetic communication with families and clinicians
- Ability to collaborate effectively with therapists, leadership, and external stakeholders
- Proficiency in phone, email, and PMS‑based communication
- Knowledge of the NDIS and experience in a therapy or healthcare setting (highly regarded)
- Required checks: Working with Children Check, National Police Check, NDIS Worker Screening, CPR & First Aid
