Job Description

The role of Executive Assistant will support a Lead Ombudsman in the Small Business and Transactions team and the EGM of Policy, with responsibility for administration, diary management, coordination and proactive executive support. The role is based in our state-of-the art newly refurbished Sydney CBD offices. 

Typically, in this role you will:

  • Provide extensive diary coordination including management of operating rhythm and cadence.
  • Coordinate meetings including room booking, agenda, organising attendees/ speakers, pre-work and printing collateral, IT, catering, actions/ minutes.
  • Organise travel and itinerary including travel to/from airport, flights, accommodation, reservations.
  • Manage people and finance administrative activities from recruitment and onboarding, through to offboarding, as well as purchase orders, payment of invoices, credit card reconciliation and support budget management.
  • Prepare draft communications, cascade relevant information, manage email and other correspondence.
  • Prepare draft papers, presentations for external and internal engagements, training collateral, reporting, as well as formatting, printing, distribution.
  • Coordinate celebrations, recognitions, engagement initiatives, milestones, social calendar
  • Support cyclical business activities, such as business planning, performance and development, engagement surveys.
  • Support the wider team, other EA’s and projects as required.

  • An ability to cultivate strong and positive relationships across the business and within your teams, to encourage cooperation and collaboration that will enable you to fully support your leaders and the wider executive team.
  • A commitment to teamwork, with a readiness to assist fellow Executive Team Assistants as the situation demands.
