    Job Description

    The Creative Project Specialist is a distinguished entry-level position that orchestrates the seamless coordination of creative requests for our esteemed Creative Services team. This role ensures projects are meticulously scoped, elegantly organized, strategically routed, and impeccably tracked from submission through production. The ideal candidate demonstrates exceptional organizational acumen, refined attention to detail, and sophisticated communication capabilities across multiple departments. Possessing a keen interest in creative operations excellence, strategic project management workflows, and leveraging advanced AI tools to elevate efficiency and optimize processes.

    Essential Job Duties & Responsibilities

    • Curate and evaluate incoming creative submissions for completeness, accuracy, and requisite assets.
    • Engage with stakeholders to procure essential information, including specifications, timelines, approvals, and supporting materials.
    • Facilitate intake triage and strategically route projects to the appropriate creative professionals.
    • Orchestrate and maintain project workflows within sophisticated project management systems such as Asana.
    • Ensure impeccable project execution by monitoring timelines, critical milestones, approvals, and overall project status.
    • Collaborate with the Project Manager on production coordination and strategic project management initiatives.
    • Maintain meticulous documentation standards, organizing files, proofs, and comprehensive project records.
    • Facilitate seamless cross-functional coordination through meeting facilitation, status communications, and stakeholder engagement.
    • Uphold established intake protocols and workflow standards with unwavering precision.
    • Proactively identify and communicate strategic risks, incomplete submissions, or conflicting priorities to leadership.
    • Demonstrate proficiency with advanced AI tools integrated within project management workflows.

    Qualifications

    • Bachelor's degree in Marketing, Advertising, Communications, or a related discipline
    • Advanced proficiency with Microsoft Office, Google Workspace, and contemporary project management platforms
    • Exceptional organizational and communication capabilities with demonstrated excellence in cross-functional engagement
    • Demonstrated ability to orchestrate multiple concurrent projects while seamlessly adapting to evolving priorities
    • Adept at rapidly mastering sophisticated software systems and emerging technologies
    • Meticulous attention to detail with an unwavering commitment to precision and follow-through
    • Refined, collaborative professional demeanor with a genuine passion for continuous excellence and professional development

    Preferred Qualifications

    • Proficiency with Adobe Creative Suite and complementary design technologies
    • Sophisticated understanding of creative processes and production workflows
    • Professional certification such as CAPM, PMP, or equivalent credential demonstrating project management expertise
    • Distinguished background in administrative coordination, hospitality management, customer service excellence, or related client-facing roles
    • Demonstrated experience with advanced AI tools and intelligent workflow optimization
