Job Description

The Document Management Supervisor is responsible for overseeing the daily operations of the document management department, ensuring all documentation is processed accurately, efficiently, and in compliance with company standards.

This role partners closely with Corporate Sales Support, Remote Online teams, and other business partners to streamline processes, improve workflow efficiency, and ensure timely completion of transaction-related documentation.

The ideal candidate will bring strong leadership skills, document management experience, operational expertise, and a passion for continuous improvement.

What You Will Do:

  • Lead, mentor, coach, and develop the Document Management team
  • Assign work based on team capacity, priorities, and deadlines
  • Conduct team meetings, provide performance feedback, and support employee development
  • Resolve day-to-day operational challenges and employee concerns
  • Foster a positive, accountable, and customer-focused team environment
  • Oversee daily document processing activities to ensure accuracy and timeliness
  • Ensure all required documentation is submitted and completed according to established timelines
  • Review workflows and maintain compliance with company policies and procedures
  • Monitor operational performance and service-level expectations
  • Maintain expertise in document management standards and compliance requirements
  • Identify workflow gaps and operational inefficiencies
  • Implement process improvements and best practices
  • Ensure adherence to legal, company, and regulatory requirements
  • Track quality standards and implement corrective actions when necessary
  • Support departmental initiatives designed to improve efficiency and customer service
  • Partner with Corporate Sales Support to facilitate proposal and sales processes
  • Collaborate with Remote Online teams to ensure transaction documentation is completed accurately and on time
  • Communicate effectively with leadership and internal business partners
  • Serve as a key resource for document management policies, procedures, and workflow support

What You Will Bring:

  • 1+ years of experience in document management, records management, administrative operations, contract processing, or office administration
  • Experience coordinating workflows and managing multiple priorities
  • Strong customer service and organizational skills
  • Previous supervisory, team lead, or management experience
  • Experience in document processing, records management, timeshare, hospitality, mortgage, title, finance, legal, or corporate administrative environments
  • Experience monitoring productivity metrics and improving operational performance
  • High School Diploma or GED required
  • Additional education in Business Administration, Operations Management, or related fields is a plus
