Company Description
A prestigious Chicago NFP is seeking candidates for an open Administrative Assistant position. This position will be the public face of this group. You will be interacting in all aspects of planning and organizing various events along with basic Administrative duties.
Job Description
Candidates will have experience in a people oriented environment, the ability to work independently and collaboratively, and a warm, welcoming can-do attitude.
● Enrollment and registration for all Preschool programs
○ Prepare welcome and touring packets
○ Maintain attendance and sign in/out records
○ Organize and maintain student records
● Communications
○ Written and verbal communications with families
○ Updates and manages preschool calendar
○ Written and verbal communications with teachers and staff
○ Assist in managing Preschool social media presence
● Operations
○ Support for DCFS Licensing and NAEYC Accreditation
○ Manage and maintain accurate contact lists on various platforms (Remini, Remind, Constant Contact)
○ Data management
○ Submit and track receipts and reimbursements
○ Orders supplies and food
● Event planning
○ Orders food
○ Manages RSVPs
○ Supports Preschool fundraiser
○ Completes and submits room set-ups to maintenance team
○ Attends events as required
Communications/Social Media
1. Help content management, creation, design, and editing of the weekly email, quarterly publications, Shabbat Service Sheet and more.
2. Assist in managing Chicago Sinai Congregation’s social media presence across platforms including Facebook, Twitter, and Instagram.
3. Assist in managing content on the organization’s website and online calendar.
4. Assist in archiving photos; attend and take photos/videos at events as needed.
5. Support Director of Engagement and Programming with creation of forms on online database.
6. Manage digital signage and update with current schedule, upcoming events and photos.
Qualifications
● Excellent administrative and organizational skills
● MS Office Suite proficiency; including MS Excel, Word, and Publisher
● Strong written and oral communication skills
● Experience with a membership management database (i.e. ShulCloud). (preferred not mandatory)
● Knowledge of Jewish traditions and values (preferred but not mandatory)
● Knowledge of DCFS licensing and NAEYC standards (preferred but not mandatory)
● Desire to learn
Additional Information
This is working in an office that has a great culture. This position is starting off temporary full-time and after 90 workdays shift to perm. Great for someone that enjoys a diverse work experience.
