The firm is currently seeking an organized Office Manager/Administrative Assistant to join our team.

Job Description

  • Manage vendor relationships
  • Manage staff assignments including working with third-party vendors to manage staffing levels
  • Keep files accurate and up-to-date
  • Proofread and edit documents
  • Work in custom CRM and perform precise data entry
  • Mailings
  • Update and manage contact list
  • Production-related work
  • Special projects in Excel
  • Assist with the build out and maintenance of the portfolio management system, Advent/Axys
  • Work to achieve expert status on all workstation systems and tools
  • Ensure that 100% of investment statements and client information are filed appropriately
  • Support the Portfolio Managers with record keeping, trade confirmations, trade settlement, and regulatory compliance
  • Prepare custom investment reports on a weekly, monthly or quarterly basis and client deliverables for the public fund clients, their custodians, and the manager of managers as required
  • Assist with Advent Axys, the portfolio management system 
  • Update a variety of consultant databases monthly, quarterly, and annually with investment performance information
  • Assist in the sourcing of marketing materials, PowerPoints, mailing labels, Constant Contact, and quarterly consultant and client newsletters
  • Support the Managing Directors in a variety of office operations and procedures


  • The successful candidate will be a mature, poised individual with an outstanding intellect and analytical skills
  • An academic background with a bachelor’s degree in finance, economics or another quantitative field is strongly preferred
  • Minimum two years’ work experience in a high-performance environment such as analyst program or asset management role
  • Strong quantitative skills, a passion for investments and command of Excel and PowerPoint are absolutely essential
  • Intellectual curiosity, strong work ethic, attention to detail, ambition and propensity to be a “self-starter” are essential personality traits
  • An Associate should have sufficient prior experience to work independently on analytical tasks with minimum supervision, though no experience in investment or portfolio management is required
  • Ability to work well in a fast-paced, high pressure environment
  • Ability to work independently on a variety of projects, receive instructions from a number of people and meet project deadlines
  • Experience with Apple, PCs and Microsoft Office products
  • Must be able to deal with confidential client materials
  • Ability to quickly learn proprietary software and databases
  • Exceptional interpersonal, verbal and written communications skills
  • Responsibilities will vary depending on the experience, qualifications, and professional maturity

Additional Information
