Job Description

We are seeking an experienced Administrative Assistant to provide administrative support in Leesburg, Virginia.   The ideal candidate for the role is a flexible problem-solver who has superb communication skills and a detail-oriented mindset. This person should have experience thriving in an administrative role. Effective multitasking and a unique ability to handle the unexpected are essential qualifications for the position.  You will be a pivotal member responsible for providing exceptional support to a Senior Executive.  The ideal candidate will have the ability to exercise good judgment in a variety of situations, handle a wide variety of activities and confidential matters, with discretion, and display strong organizational skills to manage multiple priorities.

  • Coordinate complex scheduling and extensive calendar management.
  • Manage, coordinate, and arrange executives’ travel and travel-related activities, including hotel booking, transportation, and preparing expense reports.
  • Facilitate flow of content and information to other executives and team members. 
  • Manage access for departmental email distribution lists, MS Teams Channel, and SharePoint site.
  • Create and maintain contacts, companies, and meeting notes in CRM application.
  • Work independently to coordinate client entertainment events.
  • Arrange and handle all logistics for key meetings and events, both in-person and virtual - schedule meetings; draft agendas; develop, compile, and distribute presentation materials; record meeting minutes.
  • Manage executive’s day-to-day engagements.
  • Plan and orchestrate work to ensure the executives’ priorities are met, organizational goals are achieved, and best practices are upheld. 
  • Responsible for general administrative duties and other miscellaneous related duties, as assigned.
  • This is a part time position with potential to become full time.

Qualifications

  • Prior experience in a corporate office environment
  • Previous administrative experience
  • Strong verbal and written communication abilities with practical interpersonal skills
  • Strong attention to detail
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
  • Proficient in the Office 365 Platform; such as Microsoft Teams, Word, Excel, PowerPoint, Outlook, OneDrive, etc.
  • Team-oriented with flexibility to support timelines and deliverables
  • Strong internal customer focus, especially in delivering high-quality results
  • Highly organized with strong follow up skills and the ability to multi-task
  • Able to think critically to solve complex, time-sensitive inquiries and data issues
  • Possess a great attitude, work well in a team environment, be dependable and reliable, very punctual, pleasant, diligent, and have excellent customer service skills.
