Job Description

To support this mission, the Flowers R&D site in Gilroy, CA, is seeking an Office & Operations Coordinator to support site operations, finance, compliance, maintenance coordination, and administrative activities.

Accountabilities:

  • Process invoices, expense reports, purchase orders, P-card transactions, and budget tracking through SAP/Easy Procure systems while partnering with Finance to resolve payment issues.
  • Coordinate office operations, encompassing meeting scheduling, calendar management, supply ordering, vendor communication, front desk oversight, visitor management, and shipping/receiving activities.
  • Support operational efficiency by coordinating preventative maintenance schedules, tracking maintenance tickets, labor metrics, inspections, and KPI reporting to reduce downtime and improve equipment lifecycle management.
  • Maintain relationships with vendors and assist with CAPEX requests, procurement processes, and inventory management to ensure uninterrupted site operations.
  • Ensure compliance with Syngenta HSES standards and California regulatory requirements, encompassing safety programs, permitting, environmental reporting, accident investigations, and required operational training programs.
  • Oversee compliance programs related to OSHA, HAZWOPER, forklift operations, lockout/tagout (LOTO), hot work permits, work permits, JHA reviews, and other operational safety initiatives.
  • Provide timely communication and status updates to stakeholders while serving as a key point of contact for finance and operational matters at the site.

Qualifications

Required:

  • Bachelor’s degree or technical certification preferred.
  • Strong leadership, organizational, project management, and problem-solving skills.
  • Proficiency in Excel, PowerPoint, Outlook, Word, and business systems.
  • Ability to manage multiple priorities, communicate complex information, and drive process improvements.
  • Ability to operate standard office equipment, encompassing phones, copier, and computer.
  • Customer-focused, results-oriented, and able to handle confidential information professionally.

Working Conditions:

  • Primarily office-based with occasional greenhouse and field work.
  • Ability to work occasional evenings/weekends during peak seasons.
  • Ability to travel locally by vehicle and wear required PPE as needed.

Additional Information

  • Must be authorized to work in the U.S. without sponsorship
  • 80% of work is performed in a standard office. 
  • 20% of work is performed in the greenhouse and field. 

Salary for this position ranges between $54,400 - $65,000 annually.
