Job Description

The Site Coordinator at Bouchier Contracting Ltd. is responsible for the proper input of resource usage documentation into the Oncore database system. In addition, this position also prepares and submits invoices to the customer, based on information from this system. The Site Coordinator reports directly to the Site Manager and is delegated complete authority to accomplish the responsibilities, duties, goals, and objectives that have been established for this position.

 

Success in this position is measured by:

  • LEM processing, database updates on time and accurate.
  • Coordination of daily on-site activities
  • Scheduling, document control, computer knowledge in Word/Excel & Navision,
  • Communication of labor, equipment and material changes with supervisors.
  • Knowledge of contractual demands
  • Understanding and ability to process Third Party Billing and purchase orders.

Primary Responsibilities:

The Site Coordinator provides ongoing support and expertise to the Bouchier Contracting organization at the site by entering and coordinating LEMs, change orders, and other revenue support documents i.e. Purchase Orders/Spreadsheets/billing.

The Site Coordinator prepares and submits invoices to the customer based on data & report tracking from the computerized business management database system.

Processing Information - Compiling, coding, categorizing, calculating, tabulating, auditing, and verifying information, including the supervisors daily report.

  •  Documenting/Recording information - entering, transcribing, recording, storing, or maintaining information in written and/or electronic form.
  •  Performing administrative activities - Performing day-to-day administrative tasks such as maintaining/tracking information files and processing paperwork.
  • Getting Information - Observing, receiving, and otherwise obtaining information from all relevant sources
  • Preparing invoices from information in the Oncore/Navision database.
  • Compile and enter into Oncore database system: employee time, production, and LEMS data from supervisors daily sheets, reports and other records.
  •  Coordinate and track shift schedules for team members.
  •  Coordinate and track travel and camp for team members
  •  Central contact for on-site facilities and amenities, telephone, facsimile, and messaging.
  •  Use oral written/electronic communication techniques.
  •  Assist with HS&E information as required.
  •  Coordination of on-site activities with head office.
  •  Assist Site Manager and Shift Supervisors as required.
  •  Other duties as required clerical support.

Qualifications

Education and Experience:

 

  • High school diploma or GED required. Coursework in computerized accounting preferred.
  • Diploma/Certificate in Business Administration with a focus on accounting is desired.
  • A minimum of 2-3 years experience in payroll/accounting, intermediate level with Microsoft Word and Excel, information intensive, varied job responsibility, operational position in the construction, trucking, mining, heavy haul or oil industries.
  • Valid Class 5 Driver's License
  • Valid CSTS and OSSA (Oil Sands Safety Association) orientation would be an asset
  • Knowledge of up to date administrative practices and software
  • Strong customer service skills
  • Strong time management and organization skills
  • Strong written and oral communication skills
  • Ability to work in a fast paced environment.
