A well-established Full Practice Management company with multiple ancillary services, based in North Orlando, FL, is currently looking for an Administrative Assistant - experienced preferred, but willing to hire an entry-level candidate who can learn quickly and is internally motivated to seeks the skills necessary to perform given responsiblities. 

Job Description

Seeking an Administrative Assistant who is a master at multi-tasking with excellent verbal and written communication skills with an upbeat attitude. Candidates should be able to support management and employees by handling office tasks while providing polite and professional assistance via phone, video conferencing, mail and email.  All assigned duties should be completed with the highest quality, responsible for confidential and time sensitive material.

Qualifications

  • Responsible for data entry to support multiple facets of the business

  • Support the office of the CEO and upper management

  • Inbound & Outbound calls via telephone and/or video conferencing.

  • Scheduling appointments and welcoming visitors as they arrive for their appointment

  • Assist with scheduling and facilitating company meetings and company events

  • Assist with vendors and other 3rd party associates

  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; assisting with placing orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.

  • Carry out administrative duties such as filing, typing, copying, scanning, faxing, mailing, dictating, etc.

  • Anticipate the needs of others in order to ensure processes are seamless

  • Contributes to team efforts by accomplishing related results as needed

  • Responsible for all incoming and outgoing mail

  • Responsible for sending and receiving faxes to necessary parties

Additional Information

REQUIREMENTS:

  • Preferred 2 years’ experience in an administrative assistant position

  • Preferred 2-4 years of college.

  • Strong communication skills as you will be supporting and interacting with all levels of the organization, speaking with clients and taking phone calls on a daily basis.

  • Strong written skills as you will be producing and distributing correspondences via email, letters, faxes, forms, etc.

  • Must be comfortable with video conferencing and speaking on the telephone on a daily basis

  • Must be able to listen and take detailed notes during meetings and then produce in a document

  • Experienced with social media platforms: FaceBook, Twitter, Instagram, YouTube, LinkedIn

  • Strong Proficiency in Microsoft Office: Outlook, Word, Excel, PowerPoint, Publisher

  • Preferred knowledge in technology: PC hardware and software

  • Ability to work in a fast-paced environment while remaining calm and professional – Flexibility in responding quickly and positively to shifting demands and opportunities

  • Must be able to multi-task and prioritize tasks effectively

  • Must be self driven, forward thinker and a hunter for information

  • Strong customer service orientation

  • Excellent organizational skills and must be detailed oriented

  • Positive, friendly, approachable disposition

  • Must have the ability to work independently

PHYSICAL REQUIREMENTS

  • MUST be able to use and hear a landline telephone and/or phone through PC software to speak and listen with or without reasonable accommodations

  • MUST be able to verbally speak with or without reasonable accommodations – face to face, through landline, through PC phone, through video conferencing and/or other means required to perform job duties

  • MUST be able to view computer screens for the duration of your work shift.

  • Continuous sitting throughout the work shift

  • Repetitive movements of hands, fingers and arms for typing and/or writing during work shift

  • Must be able to work standard office equipment: computers, fax machines, copiers, printers, telephones, etc.

  • Frequent bends, kneels and crouches

  • Visual acuity needs for transcription, extensive reading and input (typing) of information into computer, ability to read small print

  • Stooping and bending to files, supplies, mobility to complete tasks

  • Frequently lifts, carries or otherwise moves and positions objects weighing 10-20 lbs

  • Ability to reach with hands and arms

  • Must be able to handle stress, adapt to changing conditions and must be able to work under pressure

  • Work requires hand dexterity for office machine operation, typing, writing.
