Job Description

The Team Assistant is a key role to keep the team running smoothly through performing key administrative and support tasks in the daily role of the leader they support and by supporting with critical projects and tasks. This role can be broken down into:

Senior Support

  • Diary management: Weekly, fortnightly, and monthly key meetings booked, rearrange and reconfirmed
  • Meeting preparation: Actions, deliverables, and data requests presented ahead of time
  • Support, where applicable, in the preparation of presentations prior to Exec meetings 
  • Maintain team files – maintain structure and access to the right people.
  • Coordinating all major company meetings, circulating agendas, taking minutes, and circulating actions where required
  • Organising office socials both internally and with external partners
  • Organising events and conferences
  • Travel, expenses, and entertainment booked and managed

Qualifications

In this role, we're looking for someone who has some previous experience of supporting a senior individual and can demonstrate the following skills and experience:

  • Excellent time management and organisation with the ability to plan, think ahead, be proactive
  • Track record of liaising with multiple senior stakeholders on a regular basis
  • Sound interpersonal skills, with the ability to build relationships with the team, other departments and third-party contacts.
  • A good team player who is helpful, curious, resourceful, conscientious.
  • Proficient IT skills including MS Outlook, Excel and PowerPoint
  • Strong problem-solving skills and the ability to proactively manage your execs time.
  • Ability to build solid relationships both internally and externally.
  • Outstanding attention to detail.
