Job Description

The Personal Assistant is a key role to keep the team running smoothly through performing key administrative and support tasks in the daily role of the leader they support and by supporting with critical projects and tasks.  In this role, you will support both Starcom's CEO and MD in a fixed term, 12 month maternity cover contract.

What will I be doing?

This Personal Assistant role can be broken down into two key areas of responsibility:

Senior Support

  • Diary management. Weekly, fortnightly, and monthly key meetings booked, rearrange and reconfirmed
  • Meeting preparation. Actions, deliverables, and data requests presented ahead of time
  • Support, where applicable, in the preparation of presentations prior to Exec meetings (formatting & proofing presentations)
  • Operational and team meetings attended, minutes and actions compiled approval before distribution
  • Reminding executives of important tasks and deadlines
  • Supporting the management of the expense budget
  • Organising events and conferences
  • Expenses, and entertainment booked and managed
  • Timesheet management. Maintain accurate & up to date submissions of hours.

Project Support

  • Maintaining and updating key documents
  • Manage on time delivery of project updates – check accuracy of materials
  • Maintain team Lionbox – maintain structure and access to the right people.
  • Coordinating all major meetings, circulating agendas, taking minutes, and circulating actions where required
  • Supporting the team to ensure consistency across materials produced by the team.
  • Debriefs written and communicated
  • Proactively recommend process improvements to drive more productivity in to your role and the team role

Qualifications

What are we looking for?

In this role, we're looking for someone who has some previous experience of supporting a senior individual and can demonstrate the following skills and experience:

  • Excellent time management and organisation with the ability to plan, think ahead, be proactive demonstrating keen eye for detail.
  • Track record of liaising with multiple senior stakeholders.
  • Sound interpersonal skills, with the ability to build relationships with the team, other departments and third-party contacts.
  • Experience of working around a creatively focused organisation.
  • A good team player who is helpful, curious, resourceful, conscientious.
  • Proficient IT skills including MS Outlook, Excel and PowerPoint, online databases and website applications.
  • Strong problem-solving skills and the ability to proactively manage your execs time.
  • Ability to build solid relationships both internally and externally.
  • Excellent communication skills.
  • Outstanding attention to detail.
