EA to National CEO (12 month Parental Leave Cover)

Based in Melbourne or Sydney

 

Role Purpose

As a key member of the Zenith team, you will be central to everything that happens by operating as EA to the National Chief Executive Officer and proactively managing the Melbourne office team and national events.

 

Accountabilities

  • Provide high-level administrative support to the CEO and wider Executive leadership team where required
  • Monitor the CEO's emails and ensure anything 'high priority’ is flagged and dealt with in a timely manner
  • Diary management, meeting coordination and meeting room bookings
  • Brief CEO ahead of meetings and public engagements where necessary
  • Act as first point of contact, greet visitors
  • Develop and maintain relationships with key clients, industry contacts and their assistants
  • Maintain CEO's client and industry contact information in Outlook
  • Manage invitations/responses and work with the team as required on content for office all staff meetings across Melbourne, Sydney and Brisbane offices
  • Manage invitations/responses and materials (agendas, minutes and papers) for Executive Management meetings and presentations
  • Manage any Expense Claims
  • Engage with the Social Committee & Publicis Groupe Experience Team and work with them on events (sourcing venues, guest & RSVP lists) as required. Manage the budget allocated
  • Book CEO and Leadership domestic and international business travel
  • Complete CEO's timesheets weekly
  • Manage client events and manage client lists
  • Organise presentations for company meetings
  • Organise New Business meetings
  • Help drive culture initiatives and contribute to overall agency morale

Experience

  • Minimum of 5 year’s experience in an EA or administrative role
  • Experience in diary management, travel organization, meeting management and any events experience is preferred
  • Experience in working in a fast paced working environment
  • Correspondence and presentation preparation
  • Relationship management with senior management staff
  • Strong attention to detail a must, calm under pressure and ability work with confidential information

 

Technical Skills

  • All Microsoft programs (particularly powerpoint)
