Job Description

EXECUTIVE ASSISTANT                                                                  

Overview:

Executive Assistant to support both the Managing Director and SVP at ourZenith Chicago office.

 Responsibilities:

·         Schedule all travel arrangements and create detailed and comprehensive itineraries.

·         Coordinate and run executive conferences, video conferencing, calls and meetings (book space, manage attendees, set up tech equipment, order refreshments, prepare presentation documents and welcome boards etc.).

·         Act as a primary filter for a high volume of confidential information and documentation.

·         Stay updated on corporate and client policies, office and service management and the organizational structure of the various divisions and specializations within Zenith to be able to provide accurate answers and/or to direct these questions to the appropriate person.

·         Handle invoices, prepare check requests, submit expense reports and review all travel, expense and timesheet submissions.

·         Represent Zenith in a professional and courteous manner to all clients, vendors and visitors.

 

Qualifications

Requirements:

·         3 -5 years of administrative / office experience

·         Bachelor’s degree required

·         Excellent written and verbal communication skills as well as time-management capabilities

·         Talent in establishing and maintaining effective working relationships with vendors, clients and co-workers

·         Comfortable working with top-level executive management team and handling sensitive and confidential information with the highest degree of integrity

·         Highly organized and confident working independently on tight deadlines

·         Strong ability to think fast on your feet as well as an innate ability to proactively prepare for and predict issues before they arise

·         Proficient use of Outlook

·         Knowledge of Excel and PowerPoint
