Job Description

ProSidian Seeks a Facilitator Support Specialist in CONUS/OCONUS - Joint Base San Antonio (JBSA-Sam Houston) to support an engagement for United States Federal Govt. that is concerned with the United States' policies regarding the U.S. Army Medical Command (MEDCOM) and Clinical Practice Guidelines (CPG’s).

The ProSidian Engagement Team Members work to facilitate the development of VA/DoD Clinical Practice Guideline Toolkits for the support and implementation of the VA/DOD Clinical Practice Guidelines (CPGs) recommendations for care and service on the management of various selected health conditions used within the Department of Veteran Affairs (VA) and Department of Defense (DOD). Approximately five VA/DOD CPGs are developed and published each year. Each VA/DOD CPG requires one Toolkit which contains approximately five tools which results in approximately 25 tools produced per each contractual year.  This contract request is to provide a subject matter expert for the facilitation and support required to reach working group consensus in determining the appropriate data for use in the development of approximately 25 tools per year in the associated five toolkit conferences per year. 

Facilitator Support Specialist  Candidates shall work to support requirements for Program Support and primary role is engage in Pre- and Post-Conference Telephonic Consultation. Between the VA/DOD Clinical Practice Guidelines (CPG’S) and the Toolkit development conference, the contractor historically provided 20 – 40 telephonic conferences to refine requirements for each individual toolkit. Each conference usually lasts between 1 – 2 hours. Telephonic conferences are also held following the Toolkit Development Conference. Historically, 6 - 12 teleconferences are held and usually lasts 1 - 2 hours each. Total telephonic consultation for the five toolkit conferences per year is approximately 130 – 260 telephonic conferences requiring up to 520 man hours.  For each toolkit requirement, telephonic consultation shall be considered complete once the after action report, print-ready/production-ready provider/patient tools, and web based requirements are accepted by the COR.

Pre- and Post-Conference Email Communication. Concurrent with the telephonic consultations, and between the CPG and Toolkit development conference, the subject matter experts communicate via email. The volume of email communication historically has been 50 – 100 emails pre- and post- conference for each toolkit. Total email communication for the five toolkit conferences per year is approximately 250 – 500 emails.  Contractor provides a meeting summary via email for each teleconference to COR and Chief, Evidence Based Practice within 5 business days of conclusion of telephonic conference. Contractor keeps an action/suspense log for each toolkit and maintains the action/suspense log until completion of the toolkit (action log submitted to COR and Chief, Evidence Based Practice with each meeting summary).

Individual must be able to perform the following:

  • Edit, and finalize literature for brochures, regulatory documents and related clinical documents, such as presentations, and manuscripts 
  •  Works closely with the Medical Writer to ensure that medical documents accurately reflect the correct procedures based on Physician feedback and guidance
  •  Participates in scheduled document-related meetings and discussions
  •  Collaborates with Medical Writer, and manages the document creation process to ensure inclusion
  •  Works closely with the VA/DOD Physician Team to reach consensus on timelines for deliverables
  •  Completes documents according to agreed-upon timelines and follows up with the physician team as needed to meet internal and external timeline commitments
  •  Ensures that appropriate documented quality control (QC) checks are performed on medical writing deliverables, responds to findings, and recommends quality process improvements

Qualifications

The Facilitator Support Specialist  shall have consecutive employment in a position with comparable responsibilities within the past five (5) years, Must be able to use a computer to communicate via email; and proficient in Microsoft Office Products (Word/Excel/Power point) and related tools and technology required for the position.  Must have a thorough knowledge of Medical Terminology with demonstrated ability to interpret and apply these terminology to document writing

  • Ability to work independently with minimal supervision, multi-task, and work effectively under pressure; adapt to change as needed; possess excellent project management skills; attentive to details
  • Ability to communicate with teams to set realistic timeline expectations; demonstrated ability to deliver within agreed internal and regulatory timelines; monitor and communicate progress against milestones; escalate complex issues appropriately.
  • Excellent interpersonal, active listening, and influencing skills; establishes and maintains professional and productive working relationships with team members
  • Ability to utilize a balanced approach to problems, using flexibility and persistence as appropriate
  • Read, write and speak fluent English; excellent verbal and written communication skills
  • Bachelor degree or equivalent in medical-related field or life science. Post-graduate degree preferred.
  • 5 years of relevant medical writing experience
  • Broad experience managing the medical writing responsibilities associated with multiple studies at various stages
  • Experience in interacting with cross functional study team members Knowledge.
  • Experience with VISIO, MS Word, and PowerPoint.

TRAVEL:  Travel as coordinated with the technical point of contact and approved in writing by the Contracting Officer in advance, is allowed, in accordance with Federal Travel Regulations.  LOCATION:  Work shall be conducted at the CONUS/OCONUS - Joint Base San Antonio (JBSA-Sam Houston)
