Job Description

Job Summary:

The Site Acquisition Project Coordinator is accountable for streamlining the site acquisition process for construction or development projects, guaranteeing the efficient acquisition of all necessary permits, contracts, and approvals. The position necessitates collaboration with internal teams, contractors, and local authorities to proficiently manage site acquisition timelines and budgets.

 

Key Responsibilities:

Project Coordination:

 

  • Assist the site acquisition team in monitoring project milestones and deliverables.
  • Assist in preparing and maintaining project schedules and status reports.
  • Coordinate site visits and inspections with relevant stakeholders.
  • Develop and implement strategies to optimize the site acquisition process.

 

Documentation and Compliance:

 

  • Collect, review, and process required documentation, including leases, permits, and environmental reports.
  • Ensure compliance with local, state, and federal regulations related to site acquisition.
  • Maintain a comprehensive database of all project-related documents and correspondence.
  • Assist in the preparation and submission of zoning and permitting applications.

 

Stakeholder Communication:

 

  • Act as a liaison between clients, landlords, legal teams, and government agencies.
  • Address inquiries and provide updates on project progress.
  • Facilitate meetings and conference calls with internal and external stakeholders.
  • Develop and maintain positive relationships with key decision-makers in local communities.

 

Data Management:

 

  • Maintain accurate records of project activities in project management systems.
  • Track and report on project budgets and expenditures.
  • Analyze data to identify trends and opportunities for process improvement.
  • Generate regular reports on project status, risks, and key performance indicators.

 

Risk Mitigation:

 

  • Identify potential obstacles in the site acquisition process and work with the team to resolve them promptly.
  • Ensure all contracts and agreements are executed correctly to minimize risks.
  • Conduct preliminary site assessments to identify potential environmental or regulatory issues.
  • Develop contingency plans for high-risk aspects of the site acquisition process.

 

Vendor Management:

 

  • Coordinate with external vendors and consultants, such as surveyors, environmental specialists, and legal advisors.
  • Manage vendor contracts and ensure deliverables meet quality standards and project requirements.
  • Evaluate vendor performance and provide feedback to improve future collaborations.

 

Continuous Improvement:

 

  • Stay updated on industry trends, best practices, and regulatory changes in site acquisition.
  • Propose and implement process improvements to enhance efficiency and reduce costs.
  • Participate in professional development opportunities to expand knowledge and skills relevant to the role.

 

Qualifications

 

  • Bachelor's degree in Business Administration, Real Estate, Project Management, or related field (or equivalent experience).
  • 7+ years of experience in site acquisition, real estate, or project coordination is preferred.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities, including written and verbal skills.
  • Proficiency in project management software (e.g., MS Project, Smartsheet) and Microsoft Office Suite.
  • Familiarity with zoning and permitting processes is a plus.
  • Knowledge of real estate terminology and contract language.
  • Experience with GIS mapping software and land use analysis tools is beneficial.
  • Understanding of environmental regulations and impact assessments related to site development.
  • Ability to read and interpret technical drawings, site plans, and surveys.
  • Familiarity with local, state, and federal regulations governing land use and development.
