The Underground Project Administrator provides administrative, safety, reporting, and office support to the Underground Project team. This role is responsible for coordinating office operations, maintaining project documentation and reporting systems, supporting health, safety, and environmental initiatives, and ensuring efficient communication and organizational support for project management and team members.

  • Provide administrative support to the Underground Project Manager and team.
  • Coordinate office activities, supplies, calendar management, meetings, and conference room scheduling.
  • Maintain organizational charts, filing systems, reports, and project documentation.
  • Record and distribute meeting minutes. 
  • Support document control processes using Team Binder.
  • Maintain daily, weekly, and monthly Underground Project reports.
  • Track and file Underground and contractor statistics and records.
  • Manage notice boards and communicate project, operational, and safety information.
  • Promote and support health, safety, and environmental (HS&E) compliance.
  • Assist with INX Management and safety administration activities.
  • Ensure incidents are reported appropriately and safety communications are maintained.
  • Foster a safe and environmentally responsible workplace. 
  • Coordinate IT access and hardware requests for employees.
  • Communicate effectively with stakeholders to support a collaborative work environment.
  • Provide high-quality customer service and support to internal team members

Qualifications

  • 2-3 years of experience in an administrative or project support role.
  • Strong organizational skills with exceptional attention to detail.
  • Experience supporting project management processes and documentation.
  • Effective verbal and written communication skills.
  • Strong customer service and teamwork orientation.
  • Proficiency with Microsoft Office applications.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to stand, sit, demonstrate manual dexterity, climb stairs, talk, hear, and see.
  • Must be able to work shift work with 10-hour shifts.
  • Occasionally may be required to lift moderately heavy objects (up to 50 pounds) during the workday.
  • Work is in a surface mine plant setting, which may include exposure to extremes in temperature and humidity.
  • Personal protective equipment is required when performing work in a mine environment, including hart hat, hearing protection, safety glasses, safety footwear, and as needed, respirator, rubber steel-toe boots, protective clothing, gloves, and any other protective equipment as required.
