Job Description
This person will be responsible to act as the link between the stakeholders and the field team to manage all the administrative tasks of the business for multiple accounts/clients at the same time. Ensure accurate maintenance of all data linked to each specific client account and to ensure compliance within the assigned region. The role is based in Johannesburg and will be supporting various regions remotely.
Qualifications
- Matric
- Advantageous a Diploma/Certificate from an accredited institution.
- Prior experience as a sales coordinator/ marketing support / financial clerk would be advantageous
- 2 years’ operational work experience in cellular, FMCG, or trade marketing capacity
- Evidence of experience in meeting tough deadlines
- Ability to record meeting minutes in detail and accurately
- Must have experience in interacting and reporting back on projects
- Experience in working in a high pressure, fast paced environment
- Know how to use pivot tables on excel
- Evidence of managing more than one account/project and successfully executing
- Evidence of experience working independently, with little or no supervision
- Intermediate – Advanced skills: MS Excel, PowerPoint, MS Word

FINANCIAL:
- Management & control of Fuel and weekly/monthly expenses
- Audit / spot checks of call diaries vs business km’s on travel logs
- Build and maintain good relationships with all internal and external key players, especially with suppliers and attempt save on
- Process petty cash requests and recons
- Liaise with procurement suppliers
- Ensure reports, recons and expenses are received from the field staff for respective accounts/clients
- Understand and work with finance on job sheet, job no, quote no and all other financial aspects
- Reconciling and accounting for all assets
- Adherence to all financial processes always
PROCESSES:
- Always adhere to company and client business processes
- Make suggestions to increase efficiencies
LOGISTICS:
- Ensure that all staff are fully equipped with all the required tools to implement field objectives to 100% compliance
- Distribute required items to field staff, as per distribution list
ORGANISATION:
- Identifies deficiencies in skills among sales consultants within channels and works to improve individuals’ capabilities through coaching and guidance
- Build peer support and strong internal and external relationships
REPORTING:
- Daily, weekly, and monthly reporting
- Day end statistics to be reported on – all targets reached, and all exceptions cleared
- Reporting on vehicle checks
- Reporting on telephonic calls
- When relevant any Health check reporting
- Health and Safety reporting for region
OPERATIONS:
- Point of sale & warehouse management & reporting
- Responsible for coordinating the entire process surrounding non-compliance issues identified
- Ensure that all account statistics are managed daily to ensure a 100% clear exceptions & variance report detailing daily achievement against strategic objectives
- Create project plan, gathering input from all stakeholders and manage to completion
- Assisting region with Axonify database management
- Responsible for managing and coordinating all data input as relevant to outlet add-ons and drop-off’s
- Ensure data integrity checks are conducted
- Quality Assurance of diaries on a regular basis and ensure that call diaries are in line with agreed frequencies
