Job Description
We invite you to join the world of luxury hospitality at Fairmont Southampton as our new Purchasing Coordinator. Reporting to the Purchasing Manager, the Purchasing Coordinator is responsible for coordinating daily procurement activities to ensure the timely and cost-effective acquisition of goods and services required for hotel operations and renovation projects. This role provides administrative, inventory, logistics, and supplier support while maintaining accurate purchasing records, monitoring deliveries, and ensuring compliance with purchasing policies and procedures. The Purchasing Coordinator plays a key role in supporting operational efficiency and maintaining the highest standards of service for internal stakeholders.
What you will be doing:
Procurement & Supplier Coordination
- Support the day-to-day procurement process for operational departments, including Food & Beverage, Housekeeping, Engineering, Spa, and other hotel divisions.
- Obtain quotations, compare pricing, and prepare purchase requisitions and purchase orders for review and approval.
- Coordinate with approved suppliers to ensure timely ordering and delivery of products and services.
- Maintain positive working relationships with vendors and assist with sourcing new suppliers when required.
- Monitor supplier performance and report delivery, quality, or service concerns to the Purchasing Manager.
Shipping & Logistics Support
- Coordinate and track incoming shipments to ensure accurate and timely delivery.
- Communicate with suppliers, freight forwarders, and internal departments regarding shipment schedules and delivery timelines.
- Assist in coordinating transportation and logistics for renovation-related materials, equipment, and FF&E.
- Follow up on delayed shipments, damaged goods, or discrepancies and support timely resolution.
Customs Clearance & Documentation
- Assist in preparing and maintaining documentation required for imported goods and customs clearance.
- Coordinate with customs brokers, shipping agents, and suppliers to ensure compliance with import regulations.
- Maintain organized files related to shipping documents, invoices, customs paperwork, and delivery records.
- Support the Purchasing Manager in resolving customs and import-related issues.
Inventory & Stock Control
- Monitor inventory levels and support replenishment of operational supplies to prevent stock shortages.
- Assist with receiving, inspecting, and verifying deliveries against purchase orders and invoices.
- Maintain inventory records and assist with regular stock counts and inventory audits.
- Investigate inventory discrepancies and report findings to the Purchasing Manager.
- Support month-end inventory verification processes and reporting requirements.
Administrative Support & Record Keeping
- Create, process, and maintain purchase orders, invoices, receiving documents, and procurement records.
- Ensure all purchasing documentation is accurate, complete, and properly filed.
- Maintain procurement databases, vendor information, and pricing records.
- Prepare routine purchasing, inventory, and expenditure reports as requested.
- Support budget tracking and assist with monitoring departmental purchasing expenses.
Cost Control & Process Improvement
- Assist in identifying opportunities for cost savings through pricing comparisons and supplier evaluations.
- Ensure purchasing activities comply with company policies, approval processes, and budget guidelines.
- Support efforts to improve procurement efficiency, inventory control, and supplier performance.
- Assist with special projects, procurement initiatives, and other duties as assigned.
Qualifications

Education
- Associate's degree, diploma, or certification in Business Administration, Supply Chain Management, Hospitality Management, Accounting, or a related field preferred.
- Relevant procurement, inventory, or logistics training is considered an asset.
Experience
- Minimum 1-3 years of experience in purchasing, procurement, inventory control, logistics, accounting, or administrative support.
- Previous experience within a hotel, resort, hospitality, food & beverage, or warehouse environment preferred.
- Experience working with purchase orders, supplier communications, and inventory systems is an asset.
Competencies, Knowledge & Skills
- Working knowledge of procurement, inventory management, and receiving procedures.
- Strong organizational and time-management skills with excellent attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving abilities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Experience using purchasing, inventory, or ERP systems preferred.
- Effective verbal and written communication skills.
- Ability to maintain accurate records and handle confidential information professionally.
- Knowledge of shipping, logistics, customs documentation, and receiving procedures is an asset.
- Understanding of food & beverage products, operational supplies, and inventory control practices is preferred.
