Job Description

The Senior Administrative Assistant will provide high-level administrative and operational support to multiple senior leaders. This position requires strong organizational skills, discretion, and the ability to manage competing priorities in a fast-paced, executive-facing environment. The individual will act as a key partner to leadership, enabling efficient decision-making, communication, and execution across teams.

Responsibilities:

  • Executive Support 
    • Manage highly complex executive calendars, including prioritization of  Keystone and Elevate program meetings such as SteerCo, design sessions, testing governance, and cutover planning.
    • Coordinate meetings, agendas, materials, team out-of-office tracking, and follow-ups.
    • Orchestrate leadership cadence (weekly leadership reviews, program checkpoints, stakeholder syncs)
    • Anticipate scheduling conflicts and proactively optimize leaders’ time against strategic priorities, including travel calendars across time zones and senior leader visits to California.
  • Program Coordination 
    • Coordinate logistics and materials for key program forums (SteerCo, SIT/UAT readouts, cutover war rooms)
    • Track action items, decisions, dependencies, and deliverables across Finance, SAP, Workforce, Workplace, and Source-to-Pay workstreams.
    • Support preparation of executive-ready materials (PowerPoint, briefing packs, talking points)
  • Executive Readiness & Governance 
    • Prepare briefing materials ahead of key meetings (SteerCos, SVP reviews)
    • Ensure leadership is prepared with context, risks, and decisions needed
    • Support governance discipline (agenda setting, notes, follow-ups)
  • Meeting & Event Management
    • Organize leadership meetings (e.g., staff meetings, SteerCos, leadership reviews)
    • Coordinate logistics for offsites, town halls, and executive events
  • Operational Support
    • Support Concur travel planning needs, including domestic and international travel, expense reporting, approvals, and related procurement processes.
    • Maintain organizational tools, trackers, and documentation
    • Support onboarding logistics (workspace setup, equipment coordination, supply readiness)
    • Maintain and manage the contracts and SOW repository, ensuring all documents are current, accurate, and properly stored
    • Track contract lifecycle activities, including intake, approvals, execution, renewals, and terminations
    • Manage office mail, deliveries, and supplies of inventory, including ordering, stocking, and distribution to ensure continuous availability.
    • Provide general administrative support as needed to ensure smooth daily operations.
  • Confidentiality & Discretion
    • Handle sensitive and confidential information with professionalism
    • Support leadership in personnel, financial, and strategic matters
    • Exercise sound judgment in handling executive-level decisions and discussions

Qualifications

Requirements:

  • 5+ years of administrative experience supporting senior leaders or executives
  • Strong calendar management and organizational skills
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams)
  • Experience coordinating across multiple stakeholders and priorities
  • Excellent written and verbal communication skills

Desired Characteristics:

  • Experience supporting VP/SVP-level executives in a corporate environment
  • Ability to anticipate needs and proactively solve problems
  • Comfortable working in a fast-paced, matrixed organization
  • Strong judgment, professionalism, maturity, and discretion
  • Experience supporting SAP, Finance, or large transformation programs (e.g., S/4HANA)
  • Strong attention to detail and structured follow-through (e.g., tracking action items, governance cadence)
  • Media and entertainment experience preferred.

Additional Requirements:

  • Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
  • Must be willing to work in Universal City, CA
  • Must be willing to work flexible hours as needed to support business priorities.

Salary range: $70,000 - $90,000
