Job Description

In this role, the Administrative Assistant will provide advanced administrative support to the executives on a daily basis. The ideal candidate has strong organizational skills and attention to detail, and has the ability to multi-task in a fast-paced environment.

Reporting to the CO-CEOs, the successful candidate will be responsible for but not limited to:

·Schedule, organize and manage the CEO’s work schedule

·Keep track of priorities and assist to make sure all deadlines are met 

·Manage and prioritize incoming and outgoing emails, calls, and other forms of communication

·Arrange travel and accommodations including flights, hotels, agenda and itineraries

·File and handle all sensitive/confidential information

·Keep minutes at meetings 

·Provide as-needed support to directors, managers, and executives

·Keeping shared office space and CEO’s office space organized and in order 

·Representing office interests in relationship with external associates, including vendors, consultants and clients 

·Collaborate across departments to help plan events and initiatives departments when necessary

·Coordinate logistics for meetings and visitors 

Qualifications

The ideal candidate will possess the following skills and qualifications:

·Post-secondary diploma in a related field

·3+ years of experience in a similar role, supporting an executive is an asset

·Excellent verbal and written communication skills, in French and English

·Strong organizational skills, problem-solving and decision-making capabilities

·Detail-oriented

·Strong PC skills including Microsoft Outlook and Excel
