Job Description
Sr. Receptionist
Omaha, NE (onsite)
3 Months (Temp to Hire)
Mon-Fri, 8:00am – 5:00pm
Must be able to list 50lbs on their own. No driving will be required for this role.
Qualifications
Pre Planning Phase Responsibilities
• Manage all visit and event requests submitted through Briefing Edge, including:
o Customer meetings
o Town halls
o On-site executive or MC events in Omaha
• Coordinate travel logistics, including:
o Flight planning and monitoring
o Car service and ground transportation scheduling
• Communicate and align with:
o Executive Administrative Assistants
o Members of the Executive Committee when planning or expanding events
• Allocate workspace needs for visiting MC or executive members:
o Assign rooms or desk space in Sierra View and/or Outlook
• Plan meeting logistics:
o Reserve meeting rooms
o Coordinate schedules and agendas
o Manage the digital display located in the lobby area
• Arrange technical requirements:
o AV support for meetings and events
o Wi Fi and system access for guests and visitors
• Prepare for client audits:
o Coordinate with audit teams
o Align schedules and space needs
o Coordinate catering requests and potential client visits
• Plan tours connected to the Output Solutions group
• Maintain a vetted list of preferred vendors to support a white glove experience
2. Arrival of Customer or Guest Phase
• Provide day of arrival support, including:
o On site greeting and escorting customers, MC members, or executives
o Coordination with car services and transportation vendors
o Coordinate luggage assistance
• Ensure:
o Workspace, meeting rooms, and technology are ready upon arrival
o Any last minute changes are addressed promptly
• Act as primary point of contact during arrival to ensure a seamless experience
3. On Site Services
• Deliver a white glove on site experience, including:
o Escorting guests throughout their visit as needed
o Serving as the central coordinator for real time requests
• Manage food and catering services:
o Coordinate with catering manager and food arrangements
o Handle special dietary or executive requests
• Facility amenities/coordination:
o Special setups: Work with FAST Team or facilities dept on desired setup or special requests.
o Coordinate print services/signage requests
