Job Description
The Executive Assistant LATAM will provide high-level administrative support to the VP/Director LATAM, ensuring
effective management of daily operations, calendar, travel arrangements, and regional logistics. Based in
Mexico, this role will serve as a key liaison between the VP/Director and internal teams across Latin America, as
well as external stakeholders such as vendors and service providers. The Executive Assistant will act with the
highest level of professionalism, confidentiality, and organizational excellence, supporting Mattel's values of
diversity and inclusion while contributing to the success of the LATAM leadership team.
What Your Impact Will Be
- Manage and prioritize the VP/Director LATAM’s calendar, scheduling meetings, appointments, and regional commitments.
- Coordinate complex travel arrangements (domestic and international), including flights, accommodations, visas, ground transportation, and expense reporting through Concur.
- Organize and support regional meetings, conferences, and team events, ensuring logistics, agendas, and follow-up are effectively managed.
- Serve as a point of contact and liaison for internal teams across LATAM and external vendors/service
- providers, ensuring smooth communication and collaboration.
- Prepare and maintain confidential documents, presentations, and reports using Microsoft Office 365 tools.
- Monitor and manage expense reports, purchase orders, and vendor invoices in compliance with company policies.
- Anticipate operational needs, proactively resolving issues to optimize the VP/Director’s time and priorities.
- Uphold Mattel’s culture of diversity, inclusion, and collaboration, representing the LATAM leadership team with professionalism and integrity.
Qualifications
What We’re Looking For
- Bachelor's Degree Business Administration, Communications, or related field.
- 5+ Executive Assistant, preferably in multinational companies within consumer goods, entertainment, or related industries.
- Proficiency in Microsoft Office 365, Teams, Zoom, and Concur.
- Strong organizational and timemanagement skills with the ability to handle multiple priorities under pressure.
- Excellent communication skills in English and Spanish (Portuguese is a plus)
- Ability to interact effectively with executives, internal teams, and external vendors.
- High level of discretion, confidentiality, and integrity.
- Strong problemsolving, skills and proactive mindset.
