Some global context: OECD countries are rapidly aging, facing a gap of 383 million workers by 2050 to maintain their current economic structure. Meanwhile, workers in developing countries need jobs, and those who manage to secure work in OECD countries can expect to increase their income by 6 to 15 times. Improving labor mobility systems globally will benefit all actors involved — for the worker who gains quality employment and dramatically improves their income, for the receiving country which receives needed workers, and for the sending country which receives remittances and needed employment opportunities.
Job Description
We are seeking a proactive and detail-oriented Operations Associate to support org-wide and programmatic administrative needs working closely with a diverse global team. Reporting to the Operations Manager, this role involves streamlining processes, supporting financial report reviews, ensuring smooth logistical coordination for meetings and events, and other administrative and grant management tasks that assist the whole organization. The ideal candidate will be bilingual in English and Spanish, and willing to work across different time zones and cultural contexts. This position provides essential support in project documentation, event coordination, financial management, communications, and general administrative tasks.

Key Responsibilities:
1. Programmatic Support:
Support Project Managers with grant management, including preparing, reviewing, and tracking accounts receivable and accounts payable invoices, as well as drafting and filing contracts.
Review and refine project materials, including bilingual slide decks and visual content.
Provide feedback on structure, content, and proofreading of project deliverables.
Conduct small to medium-sized research tasks to support projects as needed.
Maintain project files and organize documentation for easy access and ensure they are regularly updated.
2. Financial Management:
Support organization-wide financial health by supporting Operations Manager and Accountants ensure program budgets are updated, and expenses are allocated correctly.
Input and track budget details, including completing funder financial reports and forms
Assist in gathering documentation for donor or client financial reporting, including reimbursements
3. General Administrative Support:
Respond to general inquiries from staff regarding internal processes and procedures.
Assist with scheduling meetings across global time zones.
Support completion of organizational and funder-related forms.
Organize and manage event logistics, including invitations, agenda creation, and follow-ups with participants.
Organize and complete visa applications and other travel forms for staff and consultants.
Provide support in ensuring all SAAS platforms are functioning well for the organization and updated; including LaMP’s CRM system.
4. Human Resources:
Assist with recruiting and onboarding new staff and consultants, including researching legal requirements for hiring in specific countries.
Coordinate with payroll platforms on HR changes and issues.
Perform initial screening of candidates, assist with job postings, and update team and consultant information on the website.
5. Communications
Editing and proofreading communications materials, such as blogs and one-pagers
Manage LaMP’s website and social media accounts, including refining and posting new social media and website content
Qualifications
Experience: 2-4 years of experience in project administration, operations, financial reporting, or related roles.
Skills:
Fluency in both English and Spanish (written and spoken) is required.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills for working with a global, multicultural team.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), and preferred experience with QuickBooks, WordPress, and Adobe
Experience with event management and logistics.
Experience with social media platforms.
Ability to manage multiple tasks and priorities efficiently.
Familiarity with CRM tools and SAAS platforms is a plus.
Flexibility: Willingness to work irregular hours on occasion to work with team members who are based in other time zones.
Additional Information
Location (Remote position): This role is open to candidates based anywhere in the Americas able to work Eastern Standard Time business hours.
Compensation: We are committed to offering competitive salary and benefits packages aligned with international non-profit organizations. For this position, we anticipate the salary to range between USD 45,000-65,000, depending on the country of employment and individual qualifications.
