Job Description
We are seeking a Senior Consultant to join our Building Consulting team. This is a unique opportunity for an entrepreneurial, highly driven individual with a well-rounded skill set to step into a role that extends beyond traditional consulting responsibilities. The person in this role will be involved in supporting key operational workflows that keep projects and reporting running smoothly across the team.
The ideal candidate will bring a strong understanding of project coordination processes, along with the flexibility and strategic mindset to manage multiple priorities. This includes tracking key KPIs; overseeing the Cotality and Xactimate portals to ensure alignment with service agreements; and managing portal assignment intake. The role also plays an important part in new project setup, partnering closely with team members to initiate projects. This involves receiving project requests, completing new project forms, and coordinating submissions with the Project Coordination Team (PCT).
This position offers the opportunity to work at the center of project operations, supporting both internal teams and broader business initiatives, while helping drive consistency, accuracy, and efficiency across the Building Consulting practice.
Job Responsibilities:
- Set up new projects and assignments across multiple systems, ensuring all details are accurate, complete, and aligned with client or vendor requirements
- Input and maintain project data in Xactimate (XA) and other vendor program systems, monitoring accuracy and consistency throughout the lifecycle of the project
- Manage ongoing project maintenance, including updating key details, following up on missing information, and ensuring records remain current
- Track KPI metrics and assist with collecting, organizing, and updating performance-related data across assignments
- Support new file setup, including validating incoming information, coordinating with internal teams, and ensuring timely activation of projects
- Provide status updates and maintain accurate project tracking, including billing, payor details, and assignment progress
- Interface regularly with clients, adjusters, brokers, and internal project teams to support communication, resolve questions, and ensure smooth execution
- Support day-to-day vendor program production tasks while maintaining high service standards and quality of deliverables

- Familiarity with Xactimate, Symbility, or similar platforms, with the ability to navigate portals such as Cotality and maintain alignment with service agreements.
