Job Description

As a Recruitment Coordinator, your primary responsibility will be efficiently managing and overseeing the onboarding process, ensuring candidates are thoroughly prepared for their first workday. You will work closely with the Recruitment Team, Operational Hiring Managers, and other key business stakeholders to streamline the onboarding experience and foster a smooth transition for new hires. Collaborating will ensure that all onboarding activities align with organizational goals and operational needs. This is a temporary 3-month contract position.

What would you be doing? 

  • Manage and facilitate centralized Recruitment Onboarding and administration processes, collaborating with Hiring Managers to confirm position requirements and provide candidate status updates. 
  • Create, send, and track offer letters and assist with scheduling and monitoring Drug, alcohol, and Occupational Health testing through approved vendors. 
  • Oversee and validate the timely receipt of documents and certifications, following up with candidates on outstanding onboarding requirements. 
  • Act as the key point of contact throughout the onboarding process, ensuring all candidate requirements are verified and compliant before deployment while providing first-day details. 
  • Administer recruitment projects and initiatives, maintain spreadsheets and metrics, and participate in project meetings to provide updates and input.

Qualifications

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with experience using Applicant Tracking Systems (ATS). 
  • Strong communication, interpersonal, and organizational skills; working effectively with ambiguity and change. 
  • Ability to manage multiple deadlines in a fast-paced, high-pressure environment with excellent attention to detail. 
  • Experience in onboarding is an asset; former office administrative experience or training is also beneficial. 
  • Grade 12 education, supplemented by additional education and/or experience in recruitment and onboarding activities. 

Additional Information

As a condition of employment, qualified applicants who accept the role must complete a satisfactory pre-employment Background Check. This may consist of a combination of a Canadian Criminal Record check, an Employment Verification, and an Education and Accreditation Verification.   

Candidates shortlisted will be required to complete the Profile TRAITS Survey.
