Job Description

The Role

This is an exciting opportunity to become part of a high performing events operations team in a fast-growing global B2B conference business. You will join a highly motivated team of Event Operation managers delivering events across the world to the very highest standard.   

As an Event Operations Executive you will be responsible for supporting the end-to-end logistics for both physical and digital events, ensuring we deliver best in class customer experiences for delegate and sponsor customers, aligned to theirs and our Fastmarkets objectives, translating these into proposed designs which utilise the latest in experience design thinking and event technologies.  

To do so you will work closely with the entire events team and event operations managers to support delivery across all logistical aspects of our events ensuring seamless delivery, attention to detail and customer led approach. 

Principal Accountabilities

  • Act as the operational support pre-event and on-site, co-ordinating with the project team to ensure the smooth running of the event. 

  • Sourcing, negotiating and liaising with suppliers – including venues, audio-visual, documentation printing, signage, and on-site support staff. 

  • Ensure delivery and fulfilment of all sponsorship and exhibitor packages as sold by the sales team such as stands, branding, branded items, features etc. 

  • Act as point of contact for speakers for all pre-event and onsite logistics. 

  • Contribute to regular project meetings for each event to ensure smooth communication within the team and aid the professional delivery of our events to external stakeholders. 

  • Work closely with designers to produce required on site branding, signing off final designs in consultation with the wider project team and in line with print deadlines. 

  • Understanding the principles of floorplan design, including venue rules and health and safety parameters. 

  • Manage event operation budgets & forecasting in line with budget expectations. 

  • Manage internal and external systems to support delivery of the events including: our registration platform, event app and all other digitals platforms such as Swapcard, Cvent and Anaplan. 

  • Work with the wider events team to share, learn and help push event experiences forward. 

Qualifications

KNOWLEDGE, EXPERIENCE AND SKILLS

We are looking for an individual who is highly motivated, driven, and have a passion to be part of a fast-paced, successful team. Being a strong team player is also important as well as someone who is happy to work flexibly.

The ideal candidate has a minimum of 3 years’ experience in an event planning or execution role. Preferred working knowledge of event systems such as Cvent, Swapcard etc, as well as Microsoft Office. Candidates must also be willing to travel to assist onsite at events where needed. 

Highly Organised: Efficient and well-organised in handling responsibilities and a keen eye for detailed planning  

Project Management: Proficient in managing projects with multiple stakeholders whilst adhering to strict timelines. 

Tenacity and Ambition: Demonstrates perseverance and a goal-driven approach. 

Collaborative Team Player: Proven ability to collaborate seamlessly within a team. 

Clear and Effective Communicator: Strong written and verbal communication including fluency in English.
