Job Description

  • Supervises and coordinates activities of workers concerned with providing work orders & inventory records for distribution accounts.
  • To support the Expeditors facility in the pursuit of Warehouse Excellence by promoting a culture of safety and security in a facility that is efficient and meets high quality standards through continuous improvement and modernization.

Distribution: Tasks and Duties

  • Allocate workloads within team to ensure smooth operations during peak activity or staff absence
  • Monitor workboards to ensure internal KPI’s are met, e.g., timely data entry
  • Build and maintain strong relationships with customers
  • Assist in retention calls and complete customer reviews with your regular customers to document in the CRM
  • Monitor invoicing and BNP report where needed
  • Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations
  • Be a guide for the team - mentor agents, lead agents and ensure that positive attitude is maintained within the team
  • Promote productivity tools within the team (e.g., using workboard, invoice processing, expo)
  • Be continuously open and positive to implementing new system changes and enhancements with the team
  • Oversee and ensure compliance with Expeditors Operational Process Standards
  • Audits all new accounts and follow up on responsibilities of agents to ensure that customer needs have been met.

Support the manager and or the sales department where needed:

  • Makes introductory contact with new accounts and maintain effective relationships with existing accounts
  • Addresses the more complex and non-routine customer issues and requests
  • Coordinates new accounts, gathering all necessary information and assigning accounts to agents
  • Audits all new account and follows up on responsibilities of the CSR’s to ensure that customer needs have been met
  • Help develop and recommend the annual departmental operating budget, making said budget consistent with the desired customer service levels and necessary equipment upgrades
  • Interacts with credit and collections personnel, regarding payment problems
  • Performs and supervises department accounting functions (i.e. Accts. Payable, Accts. Receivable, Customer Invoicing, domestic freight rating, etc.)

  • Supervising and coaching your Warehouse teams
  • Weekly team / huddle with Warehouse Lead
  • Monthly 1-on-1’s with Warehouse Lead
  • Assist and/or set the annual mid & end year reviews with the Warehouse Lead
  • Assist and/or set annual improvement objectives for Warehouse Leads
  • Assist in execution of District Tactical Business Plan
  • Ensure a safe and secure work environment
  • Responsible for execution of Expeditors warehouse procedures, safety and compliance standards
  • Maintain a clean and professional facility (as per local standards)
  • Responsible that all equipment is maintained in a safe operational condition including the required maintenance contract
  • Provide weekly/monthly/annual input to warehouse budget, which includes staffing and overtime expenses, equipment procurement and maintenance, and facility repair
  • Ensure your teams are staffed to meet demand including a flexible work force
  • Oversee all aspects of warehouse staffing, including permanent and contingent staff
  • Ensure coverage of operations with staff who have the appropriate certifications
  • Assist with Interview, onboard, develop, and support staff within area of responsibility, including permanent and contingent staff, according the training schedule
  • Support employee versatility (cross training)
  • Responsible for execution of the processes in the area of responsibility, following operational standards (OPS) and KPI expectations
  • Improve safety, quality, delivery and cost reduction through continuous improvement methods
  • Participate in transitioning and onboarding new customers
  • Manage, prevent, and resolve inventory, over/short/damage, process and customer exceptions
  • Assist with and perform process audits to ensure security and safety of people, facility, and freight
  • Allocate workloads within team to ensure smooth operations during peak activity or staff absence
  • Proactive communication with the team to ensure continuous awareness and understanding of policies and regulations
  • Oversee and ensure compliance with Expeditors Operational Process Standards

Qualifications

  • Minimum 4 years’ industry-specific experience, preferably within the global logistics sector
  • Industry-specific or relevant tertiary qualification will be advantageous.
  • Strong inventory management and basic accounting knowledge
  • Demonstrated leadership capability, including the ability to coach, develop, and build high-performing teams
  • Strong interpersonal and communication skills, with the ability to listen, provide constructive feedback, manage conflict, and foster effective collaboration
  • Self-motivated, professional, proactive, and able to work independently with a high degree of accountability
  • Customer-focused with strong meeting management and stakeholder engagement skills
  • Excellent problem-solving, process improvement, and time management abilities
  • Proficient in Microsoft Office applications, particularly Excel (formulas and Pivot Tables) and Word
  • Fluent in Business English Skills (written and verbal)
  • Open to feedback, self-reflective, and committed to continuous improvement
