Job Description

About the Role:
We are seeking a skilled and detail-oriented HR Process Specialist to join our team. This role is responsible for the integration, security configuration, and ongoing maintenance of the Workday HCM system and other HR technologies, ensuring secure, compliant, and efficient operations. The specialist will lead the design and administration of security frameworks, including security groups, access controls, and role-based permissions.

A key focus of this role is managing and optimizing integrations between Workday and enterprise platforms, ensuring secure data exchange, system stability, and seamless connectivity across global environments. The specialist will oversee continuous monitoring, troubleshooting, and enhancement of HR systems, while driving governance practices to safeguard data integrity, regulatory compliance, and operational reliability.

In addition, this role will contribute to the evolution of HR towards an AI-first operating model, identifying opportunities to leverage AI and automation to streamline HR processes, improve data-driven decision-making, and enhance employee experience. The specialist will work closely with both HR and IT teams to ensure that AI initiatives are aligned with system capabilities, data governance standards, and enterprise architecture.

The ideal candidate will play a critical role in strengthening system integrations, reinforcing security controls, and sustaining HR technology infrastructure, while also supporting the transformation of HR processes through AI-driven innovation. This position requires a proactive mindset, strong technical expertise, and the ability to collaborate across teams to deliver reliable, secure, and forward-looking HR solutions.

 

Responsibilities:

System Configuration and Management

  • Audit, configure, and maintain Workday security groups, user permissions, and role-based access controls.

  • Design, configure, and maintain organizational hierarchies, cost centers, and reporting structures.

  • Configure, optimize, and maintain Workday business processes and workflows to improve efficiency and compliance.

  • Apply regular system patches and updates to ensure optimal performance and security.

  • Test and implement new features and enhancements in collaboration with stakeholders.

  • Troubleshoot and resolve technical and integration issues, conducting root-cause analysis and recommending solutions.

 

Collaboration with Global HR Teams

  • Partner with HR Operations to streamline employee lifecycle events (onboarding, promotions, terminations…).

  • Ensure Workday configurations align with HR processes and employee data updates.

  • Collaborate with HR stakeholders to design, configure, and optimize business processes and workflows that drive automation and efficiency.

  • Continuously identify opportunities to simplify HR operations through process improvements and system enhancements.

  • Provide technical training, documentation, and support for HR teams and end-users.

  • Support HR in addressing functional questions and troubleshooting issues.

 

Collaboration with IT Teams

  • Lead the design, configuration, and maintenance of integrations between Workday and other enterprise systems (ERP, DataLake, LMS, CRM, Slack, EntraID, etc.).

  • Work closely with IT and Integration teams to manage API connections and data mapping.

  • Troubleshoot and resolve integration issues, ensuring seamless connectivity and synchronization.

  • Ensure compliance with data security and privacy regulations (GDPR, SOC2).

  • Collaborate with IT teams on system audits, monitoring, and performance improvements.

 

Technical Support

  • Provide technical support to HR and IT stakeholders for Workday and other HR systems.

  • Conduct root-cause analysis for recurring technical problems and recommend long-term solutions.

  • Deliver technical training and create detailed documentation to facilitate effective system use.

  • Act as a point of escalation for complex system issues requiring cross-team collaboration.

 

Administration of Other HR Systems

Act as the functional specialist for HR systems outside of Workday, supporting HR teams in the effective use and evolution of these platforms while collaborating closely with IT for technical administration.

Functional Administration & Support

  • Provide functional administration and user support for HR systems within the enterprise technology landscape in collaboration with IT.

  • Serve as the primary functional point of contact for HR stakeholders, translating HR operational needs into system requirements.
     

Coordination with IT for Technical Management

  • Work with IT teams responsible for system configuration, integrations, access management, and platform operations.

  • Help define functional requirements for system configuration changes, enhancements, and integrations.

  • Participate in testing and validation of system changes implemented by IT.
     

Data & Process Consistency

  • Ensure functional consistency of HR processes and data across Workday and other HR platforms.

  • Collaborate with IT on data governance, reporting requirements, and integration validation.
     

Training & Documentation

  • Develop and deliver functional training and documentation to HR users.

  • Promote best practices in system usage and HR process standardization.

Qualifications

  • 4+ years experience working  with Workday HCM, including security groups, business processes, workflows, and integrations.

  • Strong knowledge of organizational structures, cost centers, and HR lifecycle processes.

  • Experience administering other HR systems and supporting cross-platform integrations.

  • Familiarity with data security and privacy regulations (GDPR, SOC2).

  • Strong problem-solving skills and ability to troubleshoot complex technical issues.

  • Excellent documentation, communication, and collaboration skills.

  • Workday HCM certification or related module certifications.

  • Experience with enterprise IT systems, API management, and integrations.

  • Knowledge of ITIL and ITSM frameworks.

  • Foundational understanding of AI concepts and applications, with the ability to recognize opportunities for leveraging AI to improve HR processes and decision-making.

  • Proficient level of English.
