Job Description

As a People Operations Associate and office administrator, based in Mexico City , your primary responsibility is to support EcoVadis professionals  mainly based in Mexico City. This support encompasses various aspects of daily HR operations, including employee administration, payroll reporting, benefits management and onboarding processes.

In this role, a unique combination of traditional HR skills, operational efficiency expertise, and a steadfast dedication to the company's mission will be essential. You will be expected to actively contribute to the cultivation of a workplace environment aligned with EcoVadis' ethical and sustainable business objectives. You will also support the office administration team in the smooth running of our office onsite and hybrid environments. 

A hands-on approach to HR management and administration is imperative, with a strong emphasis on operational excellence and sustainability. Your efforts will be instrumental in fostering a culture that empowers employees to make meaningful contributions while ensuring inclusivity and support for our international and diverse talent pool.

Your role will be pivotal in creating and maintaining an engaging and sustainable workplace environment, one that reflects our commitment to both our employees and our broader organizational goals. 

HR tasks will be: 

  • Assist the Regional HR Manager in developing and implementing HR strategies and initiatives aligned with company goals to attract and retain employees throughout the employee lifecycle.
  • Provide high-quality administrative support to employees.
  • Coordinate the onboarding and offboarding processes for new Ecovadis employees, including collecting essential onboarding documents.
  • Occasionally support the recruitment team with reference checks.
  • Prepare payroll reports, ensuring accurate data collection and collaborating closely with external payroll providers.
  • Stay informed about local and national regulations, payroll procedures, and tax laws to ensure compliance.
  • Provide onsite support and excellent service to employees, addressing payroll and benefits queries with empathy and efficiency to ensure a positive employee experience.

Office Administration tasks:

  • Maintain a spirit of well-being and a positive working climate in the office space, collaborating closely with managers.
  • Organize and coordinate corporate events (such as team building, office parties, and training) in alignment with the company's global culture and other Ecovadis offices.
  • Support the general office operations of the Mexico location.
  • Manage front office operations, including sustainable procurement of office supplies and running errands.
  • Process expenses, purchase orders, and credit card reports using Netsuite.
  • Ensure adequate stock of office supplies is maintained.
  • Communicate internal initiatives primarily on the office Slack channel and Gmail, working closely with the HR/OM department.
  • Collaborate with Ecovadis internal departments to efficiently manage and resolve queries.

This list is not exhaustive and can evolve according to the priorities of the HR and Office Administration teams.

Qualifications

  • Minimum of 3 years of relevant HR experience.
  • Bachelor's Degree in Human Resources or a related field.
  • Experience with HRIS is a plus.
  • Experience in organizing employee events and team building activities.
  • Able to work at our office in Mexico City 2-3 times per week.
  • Advanced verbal and written communication skills in English and Spanish.
  • Familiarity with employment-related regulations in Mexico.
  • Experience in employee compensation and benefits administration.
  • Proficient in resolving employee relations issues, including investigations and disciplinary actions.
  • Outstanding interpersonal, communication, and problem-solving skills.
  • Team player with the ability to collaborate effectively in a team-oriented environment.
  • Ability to thrive in an international and multicultural environment, fostering a culture of diversity, inclusivity, collaboration, and teamwork
