Job Description

As a People Operations Associate, based in Paris, your primary responsibility is to support EcoVadis professionals in Southern Europe, mainly based in France. This support encompasses various aspects of daily HR operations, including employee administration, payroll reporting, benefits management and onboarding processes.

In this role, a unique combination of traditional HR skills, operational efficiency expertise, and a steadfast dedication to the company's mission will be essential. You will be expected to actively contribute to the cultivation of a workplace environment aligned with EcoVadis' ethical and sustainable business objectives.

A hands-on approach to HR management and administration is imperative, with a strong emphasis on operational excellence and sustainability. Your efforts will be instrumental in fostering a culture that empowers employees to make meaningful contributions while ensuring inclusivity and support for our international and diverse talent pool.

Your role will be pivotal in creating and maintaining an engaging and sustainable workplace environment, one that reflects our commitment to both our employees and our broader organizational goals.

Qualifications

Technical and Compliance Skills and Operational Excellence:

  • Payroll Processing Expertise: Preparing reports for payroll, accurate data collection of the different inputs, including close collaboration with external payroll providers
  • Regulatory Compliance: A thorough understanding of local, national, and international payroll regulations and tax laws to ensure compliance and avoid penalties. This includes staying updated on changes in legislation that may affect payroll procedures, including work permits and visas
  • Data Management and Security: Skills in managing sensitive employee data securely, understanding the importance of data privacy, ensuring compliance with data protection regulations (e.g., GDPR for European employees) maintaining personal files and updating data in our HRIS. 
  • System Proficiency: Familiarity with payroll software, especially “Silae” and HR information systems (HRIS), such as Workday that facilitates payroll processing and reporting. Ability to leverage technology to streamline payroll operations and improve accuracy.
  • Process Optimization: Proficiency in streamlining HR processes to enhance efficiency, improve employee experience, and maintain compliance with labour laws and regulations. 
  • Adaptability: The capacity to adapt to changes in payroll legislation, company policies, or employee arrangements (e.g., remote work policies) that impact payroll processing.
  • HR expertise: Skills in managing the employee lifecycle from onboarding to retention, and exit, ensuring alignment with the company’s sustainability ethos. Providing high-quality and sustainable administrative support to employees across France, Spain and Italy. Coordinate onboarding/offboarding of new EcoVadians, including the collection of essential onboarding documents for new hires. 

 

Communication and Interpersonal Skills

  • Effective Communication: Ability to communicate clearly and concisely with employees, HR colleagues, and external partners (e.g., tax authorities, payroll vendors) regarding payroll issues and policies.
  • Problem-solving: Strong analytical skills and the ability to troubleshoot and resolve payroll-related issues swiftly to prevent or minimize impact on employees.
  • Employee Support and Service: A focus on providing önsidte support and excellent service to employees, addressing payroll and benefits queries with empathy and efficiency, and ensuring a positive employee experience.
  • Attention to detail: Meticulous attention to detail to ensure payroll accuracy, which is crucial for maintaining employee trust and satisfaction.
  • Adaptability and Resilience: The capacity to adapt to changing circumstances and challenges, embodying resilience in the face of evolving sustainability practices and workplace dynamics. Contributing to a positive and pleasant working environment.
  • Fluent in English is a must.
