Job Description

MISSION

  • Assist Global HR in managing HR operations and provide support  in the following areas: Payroll, benefit management, HR compliance, Recruitment, Learning and Development and employee relations. 
  • Responsible for  HR  compliance and performing regular quality checks to ensure accuracy, completeness, consistency with existing processes and policies in place.
  • In charge of all local HR matters for the Mauritius Office.

CORE RESPONSIBILITIES

Payroll and Benefit Management

  • Manage all aspects of the payroll process and ensure monthly payroll processing in an accurate and timely manner
  • Perform monthly payroll reconciliation and the resolution of variances before final run
  • Ensure correctness of all  statutory deduction from both employer and employee side
  • Monthly reconciliation of employees benefit and 3rd Party payments (Medical Insurance, Pension, Gym, Parking and other benefit)
  • In charge of annual return and all monthly statutory return as per local laws 
  • Maintain monthly payroll recon folder with all documents pertaining to monthly payroll processing and ensure satisfactory audit both internally and externally.
  • Ensure that employees receive their monthly payslips and answer any query that they might have

Recruitment and On-Boarding 

  • Collaborate with managers to understand skills and competencies required for open positions internally and externally when required
  • Ensure that we remain within budgeted  headcount and budget salary figure
  • Participate in the recruitment process by carrying out interviews, assisting in preparing offers  and preparing work contracts
  • Headhunt potential candidates on linkedin for some complex positions as and when required
  • Devise  employer branding strategy for Cybervadis Mauritius
  • Provide input on the recruitment process and ensure that the recruitment process is being followed  and well documented
  • Ensure that data in SmartRecruiters is accurate, up to date, clean and tallies with the recruitment dashboard
  • Onboard New joiner on time and conduct proper induction session. 

HR Administration and Control

  • Overseeing general onboarding administration and documentation for all new joiners - ensuring that all new joiner documents are on file and process has been followed. Ensure that all employee queries are attended to and escalate any critical issues
  • Ensure that queries are attended within 24h. Assist and respond to employee queries, or re-direct them through the proper channel to solve their issues
  • Perform weekly and monthly quality checks to ensure that employee file are documented properly and up to date
  • Perform quality checks to ensure that the HRIS has accurate information for  employees in terms of(not limited to): personal details, salary details, employment dates, termination dates, reporting line 
  • Assist Global HR in reviewing existing policies and drafting new policies where applicable  to ensure that we have sufficient control in place and to maintain compliance with local employment laws and regulations
  • Ensure that the probationary period of new joiners is being documented and confirmation of new joiners is done in a timely manner
  • Follow up of HRDC/YEP refund and administrative paperworks as and when required

Employee Relations

  • Organise regular meetings with new joiners  to help them integrate the Ecovadis team
  • Communicate and roll out of HR processes to ensure that employees understand what is expected from them
  • Representing the company at the job fairs and university campuses
  • Overseeing employee orientation and training as and when required
  • Provide managers with employee relations support including poor performance, conflict resolution, investigation and disciplinary actions 
  • Assist Global HR in gathering documents and evidences prior to Disciplinary Committee meetings
  • Conduct exit interviews with leavers and provide an exit summary report to Global HR and escalate any issues identified during the exit interview.

Additional responsibilities related to the function and participation in HR local/global projects may be required depending on the needs of the department.

Qualifications

  • A degree in Human Resources Management or related fields
  • A minimum of 5 years of experience in a similar position and ability to work independently.

Technical skills:

  • Understand  payroll process and the main legal obligations
  • Understand  the legal HR processes and ensure compliance 
  • Knowledge of the main job boards and social networks 
  • Manage work contract and related documents
  • Basic accounting skills
