Job Description

  • As an office manager, you will be part of the Office Management team within the General administrative department.
  • Coordinate the organization of local internal events (remote and in-person) mostly for employees based in Toronto  but also all employees in our America region. 
  • Oversee the general functioning of the local office, space management, supplies and services and take care of any facets involved in running the office, (e.g. point of contact with the landlord)
  • Manage office purchases (supplies, food, etc.) with a strong focus on sustainability procurement and in link with our global Procurement Department.
  • Help with communication plans for internal initiatives (mainly on Slack and Gmail) in close link with the HR department
  • Interact and work with stakeholders across the organization to support various projects in line with the other EcoVadis offices 
  • Travel assistant: coordinate and assist Employees' in booking business  travel and hotels through our corporate travel platform for all employees in our America region. 
  • Share your ideas, campaigns, and activities to foster internal socialization and information sharing with peer office managers from other EcoVadis offices
  • Perform any other ad hoc tasks as assigned to support the global office management team
  • Collaborate with Ecovadis internal department to manage and solve queries efficiently and effectively 
  • Maintain spirit of well-being and good working climate in the space  office space in liaise with managers 
  • Vendors and suppliers relations (ensuring timely payment, negotiation, decision making) 
  • Expense planning in line with the office operations

Qualifications

  • A minimum of 2 years office management experience.
  • Proven relevant experience organizing internal company events to foster office team spirit
  • Bachelor's Degree preferred 
  • Must be proficient with Google Suite, Microsoft Office, Word, and Excel
  • Highly organized and detail oriented. 
  • Advanced verbal and written communication skills in English, additional languages is a plus.
  • Demonstrates ability to take initiative, anticipate needs and work independently. 
  • Able to work 3 days per week in the Toronto office (Downtown).
