Job Description

We are looking for an Office and Internal Events Coordinator to ensure the smooth running of our offices in Toronto and NY (virtual support) and provide support with internal events planning and office communication.  This person will also provide administrative support to our staff.  Revamping the hybrid working environment (remote and in office) . 

Internal event coordination tasks: 

  • Organize and coordinate corporate events online and in person. *We have a hybrid office model, events can take place remotely or in person following guidelines of the Government. 
  • Planning, execution and facilitation of various company team building activities and events.      
  • Vendor relations (ensuring timely payment, negotiation, decision making)

Office management tasks:

  • Oversee general office operations (Remote and in the office).
  • Provide high quality and sustainable administrative support to all employees in our Toronto office and the US.
  • Welcome and coordinate the first day of new team members.
  • Processing expenses and Purchase orders and credit card reports with Netsuite.
  • Maintain an adequate stock of office supplies.
  • Assist with booking flight tickets for staff traveling to other locations, and purchase travel insurance accordingly.
  • Support IT team regarding stock and equipment management
  • Liaise with security and building management when needed to ensure ideal and safe work environment
  • Prepare correspondences and memos to the North American team
  • Work with the Health and Safety team to ensure office is compliant and accessible

  • The ideal candidate is looking for a fast-paced environment.
  • At least 1 year of experience in administrative role and events coordination experience
  • Must be fluent in English, any other language is a plus.
  • Knowledge in Netsuite is a plus.
  • Candidates must have an undergraduate degree or College diploma in related field.
  • Excellent attention to detail and organizational skills.
  • Proactive and autonomous.
  • Microsoft Office with a focus on Word, Power Point and Excel. Experience working with G-suite (Google drive and systems) is a plus. 
  • Must have work authorization to work in Canada.

Additional Information

Beginning: ASAP

Full time position

Hybrid role with at least 50% of the time in office (2-3 days/ week)
