Job Description

Role Purpose
The Director, Event Management is essential for ensuring program success through execution excellence, performance management, and balancing the needs of both client and internal stakeholders. This role requires close collaboration with cross business counterpoints and serves as client contact. The purpose of this role is to provide strategic recommendations and manage all resources to ensure the Client’s marketing needs are met. They are viewed as a trusted advisor to client, understands and articulates client business insights and leverages to contribute ways to move business forward, lead and monitor the day-to-day activities; proactively identify new business building insights and opportunities, manage, motivate and develop their team; work with other departments to develop and execute strategies that will build the Client’s business.

This role reports into the Group Account Director, Event Management. 

DAY TO DAY RESPONSIBILITIES

  • Dedicated Staffing resource - oversees management processes with key partners
  • Create and Manage all Staffing/Recruitment Timelines, Deadlines & Schedules
  • Manage and work closely with Operations Manager, Payroll Coordinator & Regional Lead
  • Work directly with Operations Manager to hire Regional Managers
  • Work with Operations Manager to ensure training details (via Training Lead) and necessary travel details (via Production) is communicated to Regional Managers and from Regional Managers to Field Managers
  • Work with Internal Team to ensure Program budget is aligned, make recommendations on extensions, additional markets, etc
  • Strategize with Internal Team to successfully fulfill any Staffing requests and objectives from the Client
  • Involved with planning and refining all Staffing/Recruitment processes
  • Weekly calls set up with Internal + Production
  • Weekly calls set up with Operations Manager & Regional Lead
  • Ensure Program is in compliance with MKTG/dentsu guidelines
  • Attend FM Training to answer MKTG/dentsu related questions
  • Team Culture – Manage and motivate team culture with Training
  • Work with Operations Manager to deliver Program key messaging, changes, Production elements, compliance checks


OTHER KEY ACCOUNTABILITIES

  • Build strong client relationships and maintain appropriate levels of communication with stakeholders at regional, and local levels
  • Ensure Event teams are executing events to agency x client quality standards and delivering measurable performance results against measurable goals and objectives 
  • Manage communications, calls, and meetings (national calls, regional meetings, announcements, notifications, etc.)
  • Work with clients and internal teams to escalate and resolve issues and incidents (internal teams may include Leadership, HR, ER, Legal, Finance)     
  • Adhere to standard operating & compliance procedures, internal and client policies, codes of conduct, and all relevant legal regulations (alcohol beverage)
  • Monitor regional event volume and market capacities to ensure markets are appropriately staffed 
  • Ensure Event Managers are adequately staffed with part-time employees to execute planned event volume
  • Ensure Event Managers are efficiently managing local warehouses and logistics with proper POS and event assets, and ensuring assets are available / operable for activations
  • Write program recaps for clients and client leadership (when appropriate), including performance results, feedback, actionable insights, and opportunities
  • Socialize success through recaps, email comms, calls, and photos
  • Ensure Event Managers & Associates are processing payroll and event expenses on-time and accurately
  • Ensure payments for invoices from vendor partners are processed by Event  Managers & Associates in a timely manner
  • Responsible for national, regional, and or local budget forecasts and on-target delivery
  • Share trends and category / industry insights to keep the client and brands on the leading edge of innovation  
  • May require working / or being available nights and weekends when event activations are taking place
  • Job requires travel within the assigned territories (cadence varies upon size of territory)

Qualifications

Qualifications

  • 5 years of experience in event activation management 
  • College graduate preferred
  • Must possess an entrepreneurial spirit; exhibiting passion, ambition, hard work, and leadership to drive commercial success
  • Results-driven and detail-oriented with regards to all market budgets/goals driving company growth
  • Strong interpersonal skills with an ability to motivate and inspire others
  • Self-disciplined and flexible self-starter, with confidence and drive to work independently and meet all project deadlines, including frequently working outside normal business hours
  • Budget management skills 
  • Knowledge of Field Marketing/Retail/Sales
  • Effectively source candidates to ensure a match to the position/organization 
  • Proficient in Excel (can maintain complex spreadsheets), Keynote, PowerPoint

Additional Information

The anticipated salary range for this position is $78,000 - $121,500. Salary is based on a wide range of factors that include relevant experience, knowledge, skills, other job-related qualifications, and geography.  A range of medical, dental, vision, 401(k) matching, paid time off, and/or other benefits also are available.
