Job Description

The purpose of this role is to act as a strategic advisor to the CEO/President and senior management team.  They are a problem solver who will create and lead the day-to-day governance, project management and coordination across all aspects of their respective business.  The Chief of Staff will be responsible for planning and managing the administrative, financial, and operational activities for the CEO/President.

  • Facilitate all aspects of time management, prioritization, and preparation of executive action items and agenda including post-meeting follow-ups.
  • Meeting preparation and follow up: reviewing upcoming meetings to ensure the leader has all the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary.
  • Acts as the liaison between CEO/President and other executives, clients, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time.
  • Provide exceptional project management for functional and cross-functional teams. Organize and prepare materials and presentations for internal and external meetings.
  • Build and maintain relationships with stakeholders who have accountability for program or initiative execution.
  • Ensure cross-functional teams work collaboratively and effectively.
  • Ensure effective and consistent communication at all levels that give clear sight of progress of the project.
  • Proactively manage changes in project scope, identifies and manages project risks and escalate as needed for resolution.
  • Research, benchmark, analyze data, and make recommendations as needed.
  • Drafts communications emails, presentations, and other correspondence on behalf of the CEO/President.
  • Oversee strategic business initiatives from development through successful execution under the guidance of senior leadership
  • Orchestrate CEO / senior leadership involvement for effective decision making, delegating effectively where necessary
  • Contribute to the dentsu-wide strategy by anticipating future disruptive Market forces and opportunities, by working closely with the four regions and leveraging dentsu global executive where opportune, always considering how to deliver long-term client, shareholder and societal value.
  • Input into and influence CEO’s client engagement/touchpoints against relationship maps and growth plans
  • Develop a succinct singular company report based on inputs from across the business.
  • Partner with the business to play an active role in the coordination of communications necessary for key business events - promote communication and active liaising between executives and senior leaders.
  • Improve current processes and coordinate organisational procedures for optimised efficiency and productivity.
  • Work closely with colleagues within the businesses and the functions (Finance, Legal, Operations, Technology and HR) to understand the implications and impacts of the business transformation to ensure they are effectively managed.

Qualifications

  • 5-10 years experience working in a business management or executive role
  • Experience in organization and directing multiple teams/departments
  • Experience in planning and leading strategic initiatives
  • Must have demonstrated expertise in oral and written communication skills
  • Strong time management skills with ability to multitask & prioritize effectively
  • Excellent interpersonal skills
  • Excellent analytical, problem resolution and decision - making skills
  • Strong collaboration skills with an ability to work effectively both independently and as part of a team
  • Experience working in a fast-paced environment with frequent deadlines; high energy, self-motivated and proactive
  • Advanced proficiency in Microsoft Word, Outlook, Excel, and PowerPoint

Additional Information

The anticipated base salary range for this position is $136,000-219,650. Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications, and geography. Additionally, this position is eligible for discretionary incentive compensation. The company’s incentive compensation plan is subject to change.
