Job Description

Procurement Systems Administrator/Manager

 The Coupa Administrator will be the lead technologist responsible for planning, organizing, managing, executing all aspects of the Coupa P2P platform used within the dentsu Americas business.  The ideal candidate will oversee a broad range of Coupa related categories and will work collaboratively with the US Finance and Procurement department, dentsu global support teams and regional end users on day-to-day system operations, system break-fix issues, system training, system enhancements and system rollout to other areas of the Americas region business.  The Procurement System Manager reports to the Senior Director of Procurement – Americas.

 

Essential Tasks and Responsibilities:

  • Manage common Coupa Admin tasks, such as:
  • Configure Content Groups
  • User administration including assignment of roles, & user access levels.
  • Provide Enterprise Reporting, including extracts from “Coupa Analytics”
  • Company Commodity Codes
  • Project Codes
  • Configure Approval Workflow
  • End User and Supplier Training
  • Troubleshoot and debug production issues
  • Upkeep, manage and create SOPs for both Supplier and Internal End Users of Coupa system
  • Enable cXML Suppliers, Punch outs Catalogs, Contracts, PO cXML and Invoice transmission process
  • Goods Receipts
  • Managing Tolerances
  • Deploy Best Coupa Practices
  • Collaboration with Global Support Teams
  • Train and develop users in the utilization of Coupa
  • Perform User Acceptance Testing (UAT) in Coupa and D365 “Sandbox” environments
  • Responsible for reviewing, analyzing, and implementing ways to improve system performance and further improve Coupa functionality
  • Work with outside suppliers as needs arise to resolve problems, such as billing, invoicing, onboarding, and PO transmission, etc.
  • Lead expansion of Coupa to other areas of the dentsu Americas business
  • Ensure that internal Change Request procedures are understood, implemented and followed for all production deployments and changes to the system
  • Manage content, schedules, and agenda for weekly internal calls involving the Coupa system
  • Develop critical thinking and exercise data analysis skills in your everyday work
  • Work closely with our Procurement and A/P department
  • Be a champion to expand the use of Coupa throughout the company, show the value of the tool to those groups not currently using it and assist in the transition into Coupa.
  • Act as the single point of business support for users in Coupa
  • Perform other responsibilities as requested by leadership


 

Qualifications

Skills/Requirements:       

  • Ability to think strategically utilizing highly developed problem solving and analytical skills

  • Demonstrate initiative with when investigating issues or problems
  • Thrive in a fast-paced environment, work under pressure, and follow through with assigned tasks
  • Strong knowledge of purchase-to-pay practices, especially Coupa
  • High level of proficiency using P2P (Coupa) and Excel together
  • Experience with invoice postings to D365 ERP environment
  • Must have the ability to multi-task, prioritize, manage high volume workload while adapting to changing business conditions.
  • Build and maintain strong partnerships and work across organization lines to achieve objectives, project milestones and goals
  • Cultivate and sustain strategic supplier relationships that continuously benefit Procurement department and dentsu
  • Maintain a high level of customer service.
  • Effectively communicate to all levels of the organization.
  • Anticipate risks and constraints and proactively develop solutions to address the risk/constraints, escalating as appropriate. 
  • Demonstrate leadership skills
  • Strong Microsoft office skills with emphasis of analytic reporting within Excel

Education and Experience:

  • Bachelor’s degree, preferably in a related discipline and/or equivalent work experience
  • Minimum of two (2) years Systems Administrator experience for a Procure to Pay system (P2P) such as Coupa, Ariba, etc.
  • Expertise administering and delivering P2P projects by building approval workflows and complex system configurations
  • Experience with P2P integration into D365
  • Ability to effectively communicate with internal business partners to accurately update system configurations

The anticipated salary range for this position is $59,000-$115,000. Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications, and geography.  A range of medical, dental, vision, 401(k) matching, paid time off, and/or other benefits also are available.
