Job Description

The Finance Systems Administrator will facilitate (as part of a team):

  • Rigorous controls throughout our Media process, for client approvals, confirmations and reconciliation. It also includes the controls around new and amended master data.
  • Central processes to be maintained and continuously improved, working closely with Mediaocean to improve levels of automation and control.
  • Maintenance of Paprika user security for creative agencies and coordination of the release process for Paprika system updates.
  • Integration management for D365.
  • Control of non-media PO spend through the use of Coupa.

The role will provide support, analysis and insight to the process owners of the Mediaocean, Paprika and D365 products and to the overall dentsu UK relationship owners for Mediaocean and Paprika, as well as being the administrator for processes and master data in the applications mentioned above.

Developmental Opportunity:

This role provides an opportunity to develop systems knowledge of multiple business critical systems with potential for further project roles on enhancement projects.

Responsibilities:

Administration for Mediaocean

  • Updating Financial FX and Planning FX rates in Mediaocean and in dentsu SharePoint site.
  • Setting up user access to Radia.
  • Setting up mappings to external buying platforms e.g. Google.
  • Update T&Cs on all Insertion Orders to suppliers.
  • Adding client rate cards in the system, including regular review and the process for change.
  • Control the process for adding new booking categories to the system.
  • Assist IT Help with any queries in relation to security access for Mediaocean.
  • Create bespoke timesheet reports and assist with timesheet queries.
  • Assist Dentsu staff with application usage queries.
  • Develop relationship with Mediaocean Account Team and liaise with Mediaocean Support when issues need to be escalated.
  • Running reports for quarterly JSOX staff access review.
  • Validating and submitting enhancement requests.

Administration for Paprika

  • Setting up access to Paprika.
  • Running reports for quarterly JSOX staff access review.
  • Updating monthly exchange rates in all data files.
  • Maintenance of invoice templates.
  • Assist Dentsu staff with application usage queries.

Administration for D365

  • Integration management for files generated in Mediaocean, Coupa, Workday etc.
  • Assist with queries raised by D365 Support team e.g. validation of data in source systems.
  • Validating and submitting enhancement requests.

Administration for Coupa

  • First level support for PO system.
  • Monitoring of system generated errors occurring during supplier onboarding and supplier invoice matching. 

Qualifications

What we are looking for in you

  •  Mediaocean or Paprika experience preferable, or demonstrate willingness to acquire new systems knowledge.
  • Understanding of media or creative agency workflows or basic accounting would be beneficial, but is not essential.
  • Ability to coordinate requirements from staff, IT Help and external system support teams.
  • Analytical mind-set that is comfortable challenging current processes. 
  • IT skills at a good level in Microsoft applications (Outlook, Word, PowerPoint, Excel).
  • Good organisational skills.
