Job Description

Assistant Account Executives provide day-to-day executional support to the account team with emphasis on project management. They ensure agency and account success by keeping internal teams updated and on track with projects and by creating and maintaining key project documents and assets. 

  • Project manage by way of: 
  • Develop project schedules and ensure projects track according to approved schedule 
  • Collaborate with various departments across the agency to ensure projects are fully staffed as needed with appropriate guidance from production, resource management, creative, etc. 
  • Route and obtain appropriate approvals on creative, schedules, and production elements 
  • Communicate job status, scheduling changes and creative changes to project team (e.g., account, creative, production, finance, etc.) through conference reports, status reports and creative revision requests 
  • Maintain and organize client server with all key project documents and assets 
  • Assist with maintaining updating essential internal and client documents such as status reports and production updates 
  • Own all billing including requesting funds for new jobs, maintaining a working document to keep track of all open jobs, and being the main point of contact for internal finance team as well as client billers 
  • Assist with competitive analysis: 
  • Keep track of brand and industry news and flag essential findings to your project team 
  • Research and report on competitors’ marketing strategies and tactics 
  • Serve as key point of contact for client administrative support team to schedule client calls and coordinate meeting logistics 
  • Take diligent notes in both internal and client meetings and share out key takeaways with team via conference reports 

Qualifications

  • Bachelor’s degree in advertising, marketing, communications, related field or the equivalent combination of education and experience 
  • 1+ years of advertising or marketing experience (internship considered), preferably in an agency setting 
  • Understanding of the agency process and department roles and processes 
  • Foundational knowledge of the client’s business, objectives, products, and category 
  • Able to communicate clearly, thoroughly, succinctly and in a timely manner both verbally and in writing; follow up on outstanding issues; ask relevant questions 
  • Able to build relationships and collaborate across teams, departments, and vendors to successfully accomplish work 
  • Strong attention to detail and organization, demonstrated through actions such as: 
  • Effectively proofing own and others work to ensure accuracy 
  • Actively and effectively managing timelines, budgets, and deliverables of multiple projects simultaneously, some with short turnaround times 
  • Proactive approach, demonstrated through actions such as: 
  • Providing regular and thorough project updates to manager and team 
  • Anticipating potential problems and obstacles to project success, communicating concerns, and developing solutions 
  • Identifying ways to improve agency and team processes 
  • Go-getter attitude and willingness to jump in and help out however needed 
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Experience with Keynote, Adobe Acrobat, Zoom, and Teams a plus.
