Job Description

You will help agency leadership navigate the broad and, often, deep uncertainties inherent in the complex experiential marketing space. You will guide the processes developed to reveal paths to project solutions. You will serve three primary responsibilities: act as creative champion for client/project deliverables, support the PM and Ops Lead on resourcing breakouts and priorities (internal/resident and third-party/partnership) and participate in creative budget and scoping deliverables. You will report into the Director.

You will:

  • Establish risks on projects and solve any issues as they come up
  • Manage multiple creative jobs, monitoring daily project activities, tracking changes and identifying potential instances of under-use
  • Support Creative Lead with daily project management oversight
  • Record meeting notes for all meetings and following up with a clear set of next steps for each person
  • Create daily hotlist for the creative team and program leads
  • Become well-versed in each team member's strength, experience and passion so as to best match team members against projects
  • Manage files from business and export files to any department, client or third-party vendor while ensuring all files are backed up on content management systems (Egnyte, SharePoint, Dropbox)
  • Prepare timelines in collaboration with senior discipline members
  • Bring new ideas and industry best practices recommendations for senior management's consideration
  • Review weekly timesheets and provide approval
  • Participate in resource meetings and manage resource needs by guiding conversations on current and upcoming needs and organizing resourcing issues/conflict resolution with the creative team
  • Help create detailed scopes of work and budget planning while operating revenue estimations for the creative discipline
  • Support the full project lifecycle from proposal to execution phase

Qualifications

You have:

  • 2+ years of experience managing experiential, digital and event-oriented projects
  • Be competent in project management, coordination and trafficking
  • Managed diverse project timelines, project scales and cross-functional teams
  • Expert ability to handle numerous projects simultaneously
  • Proficiency in Microsoft Word/Excel/PowerPoint, MS Project and other project management tools
  • Opened and reviewed files created in Adobe Creative Suite of tools, Keynote, Pages, etc. without adding errors or ruining the files in any possible way
