Job Description

Job Summary:

Under general supervision of Management, the Admin Assistant performs administrative support services as well as entry level HR work in support of the other office duties.

The Admin Assistant role blends the functions of administrative support and entry level human resource administration. Duties include being the primary point of contact for phone calls and emails; coordinating the New Employee Orientation (NEO) process; create job description for posting and manage full recruitment lifecycle; and maintaining employee files and supporting employees as needed. Not all skills are required, but candidate must be willing to learn and 

Responsibilities include, but may not be limited to:

  • Perform recruitment activities, including posting open positions, pre-screening of candidates, scheduling and conducting interviews
  • Ensure all paperwork is complete and accurate
  • On board candidate and create employee record in our systems
  • Complete background checks
  • Ensure all required training is completed by the new hirers
  • Maintain complete and accurate information in employee files
  • Coordinate periodic performance reviews for assigned employees
  • Conduct initial phone screens and act as the liaison between the candidate and hiring managers. 
  • Perform full lifecycle recruitment staying involved from the initial contact to the offer stage, acting as the main point of contact for each candidate.
  • Conduct reference checks and assist HR with initiating background checks/drug screenings for new hires.
  • Curate the Summer Internship Program by sourcing interns as well as creating a summer calendar of events for interns (Lunch & Learns, Networking Days, Community Service, etc.)
  • Provide administrative support to HR Manager, as needed
  • Act as stand-in HR when HR Manager is out of the office
  • Responsible for using discretion with sensitive employee information
  • Assist with company events and culture initiatives
  • Establish and manage company files, (List of holidays, vacation request forms, etc.)

Schedule:

  • Night shift (4pm - 1am IST)
  • Monday to Friday
  • Work Location: Remote

Qualifications

Skills & Experience Requirements:

  • Bachelor's degree or equivalent experience
  • Previous intern work experience in Human Resources
  • Strong communication skills
  • Must be fluent in English, written and spoken
  • Detail-oriented with great problem-solving and analytical skills
  • Strong organizational and administrative skills with the ability to prioritize tasks
