Job Description

Crown seeks an Administrative Assistant to become part of a team at our Ontario, California office. The successful candidate will perform a variety of administrative duties including answering phones, arranging travel and processing travel expense vouchers, transmitting and receiving messages via email, maintaining electronic calendars, coordinating meetings, escorting visitors, maintaining supplies, and typing memoranda.

Typical duties include:

  • Processes company travel vouchers
  • Ensures all receipts are legible and valid expenses
  • Ensures that all charges submitted are in compliance with the contract requirements
  • Ensures that the client is billed in a timely manner
  • Assists with invoices that are sent to the client monthly
  • Acts as the liaison between the travel crews and the complexities of the voucher system
  • Enforces policy on travel/per-diem, and provides a constant monitoring/auditing of the process for every submission
  • Coordinates with the many various companies for materials/lodging/travel and attains the appropriate receipts/invoices in the proper format
  • Compiles numerous ad-hoc projects including various statistical reports such as weekly site reports

Qualifications

  • Completed at least a 2-year Associate's Degree program
  • At least 2.5 years of directly related administrative experience
  • Proficiency in Microsoft Office Expert in Excel skills (Pivot tables, macro automation)
  • Ability to work independently, cooperatively, and effectively in a team environment
  • Prioritize effectively and manage concurrent tasks
  • Excellent written and oral communication skills are essential
  • Familiarity with Federal requirements highly desirable
  • Must be able to obtain and maintain a Governmental Security Clearance
  • Must be fully vaccinated against COVID-19
