Job Description
At Clifford Chance, Executive Assistants are seen as trusted advisors, problem-solvers and key enablers of success. As part of our Global Business Support team in Warsaw Hub, you will partner with senior leaders across multiple offices, helping them manage priorities, drive strategic initiatives and navigate an increasingly dynamic business environment.
The Team
You will report to the Team Manager of Practice Support Coordinators & Executive Assistants in Warsaw HUB and collaborate closely with colleagues across our global network. As part of the Global Business Support function, you will contribute to a world-class support organisation that enables our lawyers and business teams to deliver exceptional service to clients around the world.
What You Can Expect in This Role
Stakeholder Support
- Manage stakeholder communications, inboxes, calendars, meetings and travel arrangements, ensuring priorities are effectively coordinated and stakeholders are well prepared for key engagements.
- Build trusted relationships across the business and provide proactive support that enables efficient decision-making and delivery.
Business Operations & Project Coordination
- Support strategic and operational initiatives by coordinating projects, tracking actions and deliverables, monitoring risks, and providing research and analysis to inform decision-making.
- Drive follow-up on key actions and ensure timely progress against business priorities.
Financial & Administrative Management
- Manage expenses, invoices, purchase orders and budget-related activities while coordinating administrative processes to support the smooth running of business operations.
- Maintain accuracy, efficiency and compliance in all financial and administrative activities.
Documentation & Information Management
- Prepare high-quality reports, presentations and communications while maintaining accurate records and documentation.
- Ensure information is organised, accessible and managed in line with document control and governance requirements.
Continuous Improvement & Professional Standards
- Identify and implement process improvements, share best practices and contribute to onboarding, knowledge sharing and team initiatives.
- Handle confidential information with discretion and demonstrate professionalism, sound judgement and compliance with firm policies at all times.
Qualifications
Essential
- 3+ years of experience as an Executive Assistant, Executive Support, Business Support or similar role supporting senior stakeholders.
- Excellent organisational, communication and stakeholder management skills, with strong attention to detail.
- Fluency in English, together with strong proficiency in Microsoft Office applications.
Desirable
- Experience supporting projects, business initiatives or team activities in an international environment.
- Familiarity with document management and workflow systems.

Hybrid Working
To support a successful onboarding experience, new joiners are expected to attend the office four days per week during the initial training period. Following this, the role operates on a hybrid basis with a 50/50 split between office and remote working, with flexibility to increase office attendance where business needs require.
